Working Hours: Monday – Friday, 09:00 – 18:00 (1-hour lunch)

The Role – Transport Operator:

To provide day-to-day administrative and operational support to the Transport department, keeping compliance documentation, vehicle records and cost data accurate and up to date, and communicating effectively with the customer and drivers so that the delivery plan runs smoothly.

Transport Administration & Compliance:

  • You will manage all received Penalty Charge Notices (PCNs), ensuring they are logged, processed and paid or challenged within the required timescales.
  • You will also manage and process road tax (VED) payments for the fleet, ensuring renewals are completed on time.
  • You will scan and save electronic vehicle service files to the relevant vehicle folders on Microsoft OneDrive, maintaining an accurate, auditable trail for each vehicle.
  • You will update and maintain workshop cost forms in Excel and input data into the Cost Sheets, including tolls and fuel amounts, for the previous week’s work.
  • You will monitor fuel and AdBlue usage figures for inconsistencies and raise any concerns with your manager.

Customer & Driver Communication:

  • You will advise ICL via email of any delays, issues or changes to the provided delivery plan, keeping a clear record of what has been agreed and with whom.
  • You will check in with drivers who are loading/unloading and advise the customer of new ETAs throughout the day once finished.
  • You will provide driver updates to customers as and when requested and send an afternoon update to North & South ICL contacts on driver progress.
  • You will scan and send PODs (Proof of Deliveries) to customers for the previous week, check that PODs have been completed correctly and advise Operations Manager where they have not been.

Operations & Organisation:

  • You will act as a point of contact for day-to-day operational transport queries, escalating to the Operations Manager where necessary.
  • You will liaise with customers to help resolve queries or issues as they arise and ensure paperwork is filed accurately and in a timely manner.
  • You will manage priorities effectively to meet deadlines and work with a self-motivated, “can do” approach to achieving requirements and targets.

Other Duties:

  • You will carry out any reasonable duties as identified by Unitruc South and positively represent Unitruc to our customers and suppliers.
  • You will ensure compliance with all contractual employment obligations and our FORS / RHA standards, fully participate in the company’s performance management and development programmes, and maximise your own ability to produce quality work, on time and to brief, utilising best skills and available technology.
  • You will work in accordance with the Company’s policies and procedures and ensure compliance with health and safety requirements.
