Job Purpose

Building Maintenance and Compliance (BMAC) scope, manage and deliver building refurbishment, building fabric repairs and undertake building compliance assessments on UU Operational Buildings.

Building compliance assessment are completed across Asbestos, Fire Safety and Water Hygiene (legionella) and recorded on compliance database software (Teams Enterprise and c365).

The Administrator role will play a key role in coordinating BMAC day to day activities (scheduling, SAP ETC), with a focus on updating and transferring compliance assessment data and information onto the compliance database, providing reports and dashboards in excel and PowerPoint to evidence works completed and overall compliance position.

Accountabilities & Responsibilities

  • Coordinate and input building compliance data, producing reports and presentations for the Building Compliance Team and wider Property function.
  • Manage and update compliance risk assessment data across multiple systems, including Teams Enterprise, SharePoint, and new database software.
  • Use SAP to process purchase orders and engineering certificates, ensuring accurate tracking of agreed works.
  • Interpret site risk assessment recommandations and building condition surveys to support the development of work schedules and compliance planning.
  • Track remedial actions, maintain documentation, and produce monthly compliance reports highlighting key risks and progress.
  • Act as Technical Administrator to the Building Compliance Team and BMAC Controller (up to Head of Property), Building Surveyor and Building Compliance Surveyor Working Groups.
  • Work with the Compliance Manager to provide and maintain site risk assessment schedules.
  • Manage and maintain a list of statutory Building Compliance risk assessments and issues.
  • Liaise with other Managerial and Operational teams such as County business leads, H&S representatives, Area Managers, and Process Controllers

Technical Skills & Experience

  • Excellent oral and written communication skills and ability to deal with people from across the organisation including the ability to challenge and interpret compliance (risk assessment) data and building condition surveys.
  • Excellent planning, organisational and time management skills
  • Integrity, discretion and confidentiality are critical
  • Strong interpersonal skills with good communication skills with the ability to interact with senior managers, wider team members and external stakeholders.
  • Proficient user of Microsoft Office applications (word, excel, powerpoint and access) to deliver (and track) reports, schedule and presentations – experience using excel pivot tables and other excel presentation tools

A full UK Driving Licence is required to carry out this role

About the Team

The BMAC team plays a vital role in maintaining and enhancing building maintenance and compliance across the company’s estate. Operating across five county hubs, the team delivers essential compliance assessments and remediation work in key areas such as asbestos, fire safety, and water hygiene (legionella). As the business enters AMP8, the team is expanding to meet increasing demands and responsibilities. This newly created Administrator role offers an exciting opportunity to support the team’s growth by improving internal systems and influencing how compliance data and building condition surveys are managed and presented. With a varied workload that includes administrative support, data management, and the development of key reporting materials, this is a chance to shape a new role and make a meaningful impact within a dynamic and growing team. The role will also offer the opportunity to work with wider teams across the whole of UU to deliver a robust programme of assessments and remediations.
