UTA‘s Entertainment & Culture Marketing (E&CM) European department is seeking an Assistant. Candidates must have the ability to proactively function under tight deadlines in a fast-paced working environment and experience managing daily schedules/calendars, conduct research, create presentations and support with the tracking and delivery of products to productions. Qualified candidates must have precise, detailed-oriented organisational skills, as well as excellent communication and writing abilities. A passion for entertainment and marketing are a must.
The ideal candidate will have experience and a genuine passion for the worlds of marketing and entertainment, consume TV shows and movies and will be an active user of multiple social platforms. The European office is a small team within the larger UTA business, so there will be plenty of multi-tasking and the opportunity to grow quickly. What You’ll Do
- Manage phone, calendar, and research for meetings; make reservations; schedule virtual meetings and calls, internally and externally.
- Maintaining spreadsheets, and drafting correspondences.
- Identify opportunities in the entertainment landscape for our existing and new clients.
- Acting as an internal liaison between all level cross-functional teams and external clients & partners.
- Coordinating travel arrangements and itineraries, both domestically and internationally, along with expense reports for review and submit to accounting for approval.
- Work with the team to conduct research and create visually engaging presentations.
- Assisting with events.
- Tracking and reviewing contracts, client calendars and payments through a series of detailed grids.
- View & track TV and film editorial content for prop and product placement integrations.
- Liaise with film and TV production companies, sending out prop rosters and placing orders for productions for brand’s products; ensuring all product sent is returned in a timely manner.
What You’ll Need
- Minimum 1+ years’ experience, a plus if working in an assistant capacity.
- Bachelor’s degree strongly preferred but not required.
- Experience with an entertainment company or advertising agency preferred.
- Highly professional with excellent judgement.
- Strong ability to liaise with clients, senior-level executives, and colleagues.
- Can-do, positive attitude and willing to “go the extra mile.”
- Capable of managing several projects simultaneously.
- Ability to thrive in a fast-paced, highly intense client service work environment.
- Highly proficient technical skills with Microsoft Office suite (Excel, Word, PowerPoint, Keynote) as well as Google Drive (Slides, Docs, Sheets, Google Meet).
- Familiarity with video conferencing systems (Zoom, Slack, Concur, and Workday).
- Team player.
- Knowledge and curiosity for key players throughout the entertainment industry.
- Understanding of UTA's Client Roster.
