United Talent Agency (UTA) is seeking a highly motivated and commercially driven Assistant to join the Corporate & Private Music/Music Crossover team. This exciting role sits at the intersection of talent, brands and high-net-worth private clients, supporting the development and execution of live music bookings across global corporate events, luxury experiences and exclusive private performances whilst also supporting our music clients in their crossover into Film & TV.
The ideal candidate will combine strong organisational skills with commercial awareness, discretion and a proactive approach to business development in a fast-paced, high-value environment. You will be responsible for liaising with business affairs, accounting, and other internal departments. You will support the Corporate and Private Agent of UTA London and responsibilities include:
- Scheduling meetings for agent, keeping on top of booking schedules and diaries
- Proactively resolving enquiries, or escalating as appropriate
- Contracting shows accurately, quickly and efficiently
- Handling new incoming queries
- Sending out briefs internally throughout the wider business
- Outreach to potential new business opportunities
- Keep client info up to date including release dates, label, management and account info
- Working with artist accounting teams on ensuring they are taxed appropriately
- Keeping account of all money in for shows and chasing deposits/payments when needed
- Requesting and managing invoices from management/accounts team
- Chasing and checking settlements and payments, approving statements for final settlement with the artist
Sales Assistant Duties – Corporate & Private Music:
- Proactively identify and develop new business opportunities across corporate, brand, private client sectors.
- Conduct targeted outreach to buyers, event planners, brand marketers and private client representatives to generate leads and set meetings.
- Support revenue generation by preparing and coordinating artist offers, including fee structuring, availability checks and routing considerations.
- Manage and coordinate Response to Brief (RTBs), ensuring timely and commercially strategic artist submissions.
- Liaise internally with agents to gather assets (biographies, imagery, tech specs, riders) and confirm date availability.
- Create tailored pitch materials, e-cards and client-facing decks for specific territories and verticals.
- Maintain and grow a live database of corporate buyers, luxury venues, private client representatives and brand contacts.
- Track pipeline activity, deal status and revenue projections to support accurate reporting and forecasting.
- Maintain discretion and professionalism when dealing with high-profile and high-net-worth clients.
Music Crossover Duties:
- Manage phone, calendar, and research for meetings; schedule virtual meetings and calls, internally and externally
- Maintaining spreadsheets, and drafting correspondences
- Strong task management skills, used to proactively build processes that benefit the business
- Liaise with internal staff at all levels and external clients & partners
- Expense reports - prepare monthly reports for review & submit to accounting for approval
- Prepare press kits and materials
- Track and review contracts, client calendars and payments through a series of detailed grids
- Building an in-depth and up-to-date knowledge of clients’ work including reading and watching material on an ongoing basis.
- Attending clients’ studio records, screenings, plays and watching clients’ broadcast work
- Drafting and sending out tape requests/auditions to clients, monitoring deadlines and making sure all tapes are submitted in time, in the correct format.
- Reading scripts and breaking some of these down for the department.
- Suggesting clients for roles and following up with casting directors.
- Submitting clients’ scripts and keeping a log of feedback.
- Keeping up to date on industry news.
- Ensuring all administration for new clients is carried out quickly and efficiently.
- Building and maintaining positive relationships with clients, production companies, entertainment talent bookers and other industry contacts.
- Organising clients’ meetings (including - transport, hotel and restaurant bookings, hair and wardrobe appointments as required).
- Maintaining an up-to-date schedule and record on the Company database.
