Polar Speed, a UPS company, is a logistics company and innovative provider of temperature sensitive transportation and pharmaceutical supply chain solutions in the UK.

Customer Service Administrator

Based at Polar Speed Distribution Ltd, 15A Chartmoor Road, SITE 3 Leighton Buzzard, Bedfordshire, LU7 4WG

Monday to Friday – 37.5 hours per week – To cover various shifts between the hours of 8am to 6pm

Polar Speed has a reputation for quality, compliance, operational and customer facing technology and monitoring solutions in the growing temperature-sensitive pharmaceutical logistics market in the UK. The company specialises in active temperature-controlled deliveries to hospitals, pharmacies, wholesalers and medical care surgeries as well as to end patients which it serves through its homecare business. Its customers include some of the best known pharmaceutical brands in the world.

Owing to Company growth, we are now looking for an additional Customer Services Administrator to join our busy Customer Services team at our Site 3 office.

You will be dealing directly with all of our customers, responding promptly and professionally to all customer enquiries.

To be considered for the role you must be able to demonstrate excellent organisational skills, with the ability to work under pressure and prioritise your work load, with great attention to detail. Previous office administration experience would be advantageous.

Working 37.5 hours per week covering the hours of 8am-6pm on a Monday to Friday basis, you must be flexible and prepared to work additional hours as and when required to meet our service requirements which may be of an urgent medical nature. You will also be expected to cover other areas of work for colleagues if required. This will be an office based role. 1 x bank holiday per year is required for this role, on a rota basis, paid at time and one half hourly rate plus 1 day in lieu.

Key responsibilities:

·Dealing directly with customers either by phone or email, in a timely and professional manner.

·Raising customer complaints where appropriate, ensuring client requirements are met. Raising any serious issues to the Team Leader where necessary.

.Provide pricing and delivery information.

·Order processing and invoicing.

·Communicate and collaborate with other internal departments.

·Ensure the smooth running of departmental systems and processes.

*Additional tasks may be requested by the Team Leader, when appropriate to the skills and responsibilities of a Customer Services Administrator.

Key Skills/Experience/Requirements:

·Strong working knowledge of IT packages, Word, Excel, Internet/Intranet, full training will be given on our own in house systems, experience of using Microsoft Dynamics advantageous but not essential.

·Excellent organisational, communication and collaborative skills.

·Excellent attention to detail whilst being able to work well under pressure and prioritise workload.

·Strong social and interpersonal skills when dealing with internal/external contracts.

·Team player mentality, able to build effective working relationships, appreciating the need for maintaining confidentiality.

·Ability to work under pressure, work to targets and deliver results, using own initiative when required.
