United Offshore Support GmbH (UOS) is a leading global operator of sophisticated offshore support vessels specializing in the technical, crew and commercial management of high-powered anchor handling tug/supply (AHTS) vessels, large platform supply vessels (PSVs) and subsea vessels working in the offshore energy industry worldwide. The Quality Assurance and Document Controller is responsible for supporting and enabling the effective operation, governance, and continual improvement of the Business Management System (BMS). The role proactively supports the Operational Excellence function by ensuring that company documentation, quality processes, and assurance activities are controlled, current, compliant, and consistently applied across the organization. This position acts as the focal point for BMS documentation, quality assurance support, and document governance, interfacing with internal stakeholders and third parties to ensure legislative, regulatory, and company requirements are met.
ResponsibilitiesUnder the direction of the Operational Excellence Manager and wider Operational Excellence team, the role is accountable for:
- Supporting the continual improvement, maintenance, and governance of the Business Management System (BMS) and the Business network drives.
- Ensuring management system documentation is controlled, compliant, current, and consistently presented.
- Supporting quality assurance, audit readiness, and internal assurance activities.
- Acting as the primary focal point for BMS documentation queries and document control processes.
- Ensuring document properties, version control, approval status, and filing structures are correctly maintained.
- Maintaining registers of controlled documents (e.g. MDR) and other associated documents/systems, ensuring revisions are tracked and reflected.
- Supporting Quality aspects within the business both for internal and external purposes.
- Where applicable, supporting the planning, coordination, and completion of internal audits, both office-based and offshore.
- Assisting with monitoring regulatory and legislative developments and conducting applicability reviews.
- Monitoring flag state exemptions and certification status, ensuring records are maintained and up to date.
- Reviewing, logging, and filing Daily Progress Reports (DPRs).
- Maintaining and managing technical and departmental folders to ensure accuracy and completeness.
- As required, preparing and issuing communications, notices, and updates to the business.
- Supporting the Operational Excellence and Leadership Teams with specific improvement initiatives and focused tasks.
- Undertaking any other reasonable duties as requested by the line manager, consistent with the role.
- Experience working with Business Management Systems (BMS), QMS, or ISO-aligned frameworks.
- Knowledge of maritime, offshore, or regulated industries.
- Experience supporting audits and assurance activities.
- Proficiency in Microsoft Office, Power BI or similar reporting tools.
- Excellent written and verbal communication skills.
- Strong organizational skills with high attention to detail.
- Strong emphasis on quality.
- Ability to work independently and as part of a multidisciplinary team.
- Ability to prioritize workload and meet deadlines in a dynamic environment.
- Strong problem-solving and adaptability skills.
- Quality training and or competence (Desirable).
- Fluency in English. German is a great plus.
