Reception & Facilities Coordinator

We are looking for a professional, organised, and customer‑focused Reception & Facilities Coordinator to join our team.
Responsibilities
- Act as the first point of contact for visitors, clients, and colleagues, welcoming and guiding them.
- Manage visitor passes, telephone calls, and client enquiries.
- Coordinate meeting room bookings, prepare rooms, and ensure refreshments and equipment are available.
- Handle all deliveries, incoming and outgoing mail, and courier services.
- Maintain a tidy reception area and client‑facing environment.
- Provide local information and assistance, including travel advice and booking recommendations.
- Execute regular checks of meeting rooms, kitchen areas, and communal spaces.
- Replenish office and kitchen supplies as required and manage office supplies ordering.
- Ensure meeting room equipment is operational, escalating issues where necessary.
- Coordinate contractor visits, maintenance schedules, and building access management.
- Support building access, including visitor passes and staff access cards, and manage visitor and disabled parking spaces.
- Liaise with facilities providers, security teams, and onsite management to maintain a safe workplace.
Qualifications
- Previous experience in reception, front‑of‑house, office coordination, or facilities support.
- Excellent interpersonal and communication skills.
- Professional, friendly, customer‑focused attitude.
- Strong organisational skills with the ability to manage multiple priorities.
- Independent work capability and effective teamwork.
- High attention to detail and problem‑solving ability.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
