The People System Administrator is responsible for the day-to-day operation, maintenance, and optimisation of the organisation’s people systems, primarily Workday. The role ensures data accuracy, supports system users, and contributes to continuous improvement of system functionality and processes. It acts as a key link between HR, Payroll, IT and the wider business, ensuring people processes are delivered effectively through the system.

Key Responsibilities
  • People System Administration
    • Maintain accurate and up-to-date employee data within the system
    • Support the administration of core processes including onboarding, job changes, and off‑boarding
    • Manage user access, roles, and permissions in line with internal controls
    • Act as a first point of contact for system queries from HR and the wider business
  • Data Management & Integrity
    • Perform regular data audits to ensure accuracy and consistency
    • Prepare, validate, and upload data using bulk upload tools (e.g. EIBs or equivalent)
    • Identify and resolve data issues promptly, escalating where required
  • Reporting & Data Support
    • Build, maintain, and run reports to support HR and business needs
    • Produce regular and ad hoc reporting (e.g. headcount, absence, workforce data)
    • Validate data outputs to ensure reliability and accuracy
  • System Updates & Improvements
    • Support system updates, enhancements, and releases
    • Participate in testing (UAT) to ensure system changes function as expected
    • Maintain system documentation and user guidance
    • Identify opportunities to improve processes and system usage
  • Stakeholder Support
    • Provide guidance and support to system users across the business
    • Work closely with HR, Payroll, IT, and external providers
    • Support the delivery of a consistent and efficient user experience
Essential Knowledge, Skills & Experience
  • Experience working with an HR system (preferably Workday)
  • Experience maintaining and managing employee data with a high level of accuracy
  • Experience producing reports from an HR system
  • Experience handling or supporting bulk data uploads or system updates
  • Good working knowledge of Excel (e.g. pivot tables, lookups, data validation)
  • Understanding of core HR processes and employee lifecycle
  • Strong attention to detail and ability to manage multiple tasks
  • Ability to troubleshoot issues and follow through to resolution
  • Comfortable handling confidential and sensitive information
Desirable Knowledge, Skills & Experience
  • Experience with Workday reporting types (e.g. advanced or matrix reports)
  • Experience supporting system configuration or enhancements
  • Understanding of data protection principles (e.g. GDPR)
  • Experience working with multiple HR systems
