About the role
Executive Assistant to the Managing Director of the Energy business at United Infrastructure.
This role is more than diary management – you are a trusted partner to a senior business leader, driving strategic priorities across a fast‑paced division.
Responsibilities
- Manage a complex and constantly evolving executive diary, aligning the Managing Director’s time with business priorities.
- Act as a trusted gatekeeper, managing communications and prioritising competing demands.
- Prepare high‑quality meeting briefings, presentations and board papers.
- Coordinate leadership meetings, operational reviews and governance forums across the Energy business.
- Capture actions, track progress and ensure accountability after executive and board meetings.
- Manage confidential correspondence and communications on behalf of the Managing Director.
- Coordinate complex travel arrangements and produce detailed itineraries.
- Organise leadership events, client meetings and business off‑sites from planning through to delivery.
- Manage executive expenses and reconcile corporate credit card statements.
- Work closely with Executive Assistants across the wider business to ensure seamless coordination of senior leadership activity.
- Continuously identify opportunities to improve processes and ways of working.
Qualifications
- Significant experience supporting senior executives, ideally at Managing Director or Board level.
- Outstanding organisational and planning skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong commercial awareness and sound judgement.
- Advanced Microsoft Office skills – Outlook, Word, Power Point, Teams, Share Point.
- Experience producing professional board papers, presentations and executive reports.
- Proactive, solutions‑focused approach with exceptional attention to detail.
- Absolute discretion and professionalism when handling confidential information.
- Experience within infrastructure, engineering or operational businesses is advantageous but not essential.
