Procurement Expeditor – Job Description
Role Overview
The Procurement Expeditor is responsible for ensuring the timely delivery of materials, equipment, and vendor documentation to support project schedules. The role acts as the key link between procurement, engineering, and suppliers—monitoring purchase orders, coordinating vendor activity, and proactively resolving delays to maintain programme milestones.
Procurement Expeditors play a critical role in keeping projects on track by managing supplier performance and expediting order completion from placement through to delivery.
Key Responsibilities
Vendor Coordination & Expediting
· Act as the primary point of contact for suppliers to monitor order progress and delivery schedules
· Proactively expedite vendor activities to ensure materials and equipment are delivered on time
· Coordinate across multiple suppliers to maintain alignment with project timelines
· Resolve vendor issues relating to delays, quality discrepancies, or documentation gaps
The role requires continuous communication with suppliers to track status and resolve delays before they impact delivery.
Purchase Order & Delivery Management
· Track and manage all open purchase orders from issue through to final delivery
· Monitor fabrication, production, and shipment status of ordered materials
· Identify risks to delivery schedules and implement mitigation actions
· Ensure supplier compliance with agreed delivery dates and contract requirements
Expeditors actively monitor purchase orders and coordinate with suppliers to ensure timely delivery and reduce disruptions.
Technical & Engineering Coordination
· Coordinate with engineering teams to expedite technical submissions, drawings, and approvals
· Support vendor selection by ensuring technical requirements and specifications are met
· Ensure all vendor documentation is submitted, reviewed, and approved within required timelines
In technical projects, expeditors often coordinate vendor documents and engineering approvals to avoid delays in manufacturing.
Project & Schedule Management
· Maintain expediting reports, logs, and dashboards for all active procurement packages
· Provide regular updates to project managers on delivery status, risks, and mitigation actions
· Align material delivery with construction or operational schedules
· Support planning teams with accurate delivery forecasts
Issue Resolution & Risk Management
· Identify potential supply chain risks early (manufacturing, logistics, documentation)
· Escalate critical delays and drive corrective actions with suppliers
· Work cross-functionally with procurement, logistics, and project teams to resolve issues
Expeditors are responsible for resolving delays and mitigating supply chain risks to avoid project disruption.
Key Skills & Experience
· Strong supplier coordination and stakeholder management skills
· Experience in procurement, supply chain, or expediting roles
· Ability to manage multiple vendors and competing priorities
· Strong understanding of project schedules and critical path dependencies
· Excellent communication and problem-solving skills
· Familiarity with ERP / procurement systems (e.g. SAP, Oracle)
Typical Background
· Experience in construction, energy, infrastructure, or EPC projects
· Exposure to long lead-time equipment, technical procurement, or vendor packages
· Knowledge of procurement processes from purchase order through to delivery
