Location: Bicester

Salary: £13.02 per hour (£14.59 including advanced holiday pay)

Hours: 04:00 - 16:00 hour shift

Shift Pattern: 4 on 4 off

Contract: Temporary potentially leading to permanent

Overview of the Role

As Transport Administrator, you will be responsible for all day-to-day transport administration, supporting drivers and the transport management team to ensure routes run smoothly, paperwork is accurate, and the operation remains legally compliant at all times.

Key Responsibilities

  • Accurately deploy drivers and record all relevant statistics in the transport system.
  • Debrief drivers on return to depot and input all data into the transport system.
  • Scan all PODs onto the system and ensure they are signed and dated by customers.
  • Check drivers' returns notes are fully completed so credits can be issued, ensuring returns notes are attached to PODs.
  • Download driver digital tachographs during debrief and report any infringements.
  • Record all vehicle defects on the defect log and ensure related paperwork is filed (completed defects, nil defects etc.).
  • Print all PODs and IDT (Inter Depot Transfer) paperwork before routes/trunks are due out.
  • Manage key control - ensure all customer keys are signed out/in and returned to the key cabinet.
  • Ensure backhaul paperwork is fully completed by drivers.
  • Action collection requests received via email and ensure relevant paperwork is included in the driver's route pack.
  • Ensure all drivers have a fridge printout for the journey where required.
  • Maintain clear communication with all in-house departments.
  • Log and escalate all vehicle breakdowns, contacting the relevant parties and notifying the Transport Manager so customers can be informed.
  • Allocate vehicles against route numbers and keep the tasking spreadsheet and vehicle status board (including VORs) fully up to date.
  • Ensure drivers have everything needed to complete their route (e.g. maps, keys, route packs).
  • Support legal compliance at all times across driver hours, WTD and vehicles.
  • Forward holiday requests and payroll issues to the relevant manager.
