We are currently recruiting for a Document Controller for our client, a workplace strategy, design and build expert company.
Role Overview
The Document Controller plays a key role in supporting project delivery by managing and controlling all project documentation through Procore and/or other document management systems. This includes drawings, RFIs, submittals, and site records. The role ensures that accurate, up-to-date information is available to site teams, subcontractors, and stakeholders, enabling efficient and compliant construction operations.
Key Responsibilities
- Manage all project documentation including drawings, specifications, RFIs, submittals, transmittals and snagging internally and externally.
- Ensure the latest approved construction drawings and documents are issued to site teams and subcontractors, ensuring their immediate access to the most up to date and relevant information.
- Maintain strict version control to prevent use of outdated information on site.
- Control incoming and outgoing documentation from consultants, contractors, and suppliers.
- Administer and manage document workflows within document management systems (Drawings, Documents, RFIs, Submittals).
- Upload and maintain accurate records of all construction documentation.
- Track and log RFIs, submittals, and drawing revisions to ensure timely responses.
- Coordinate with Project Administrators to set up and maintain folder structures and permissions in line with project requirements.
- Act as the central point of contact for document control across the construction project.
- Liaise with site managers, engineers, subcontractors, and design teams to coordinate and guide document flow.
- Attend & support project meetings by preparing and distributing document packs and reports.
- Ensure document control processes align with project specifications, contractual requirements, and industry standards.
- Assist in maintaining audit trails for all project documentation.
- Support quality assurance processes by ensuring documentation is complete and correctly approved.
- Identify bottlenecks or delays in document approvals that may impact construction progress.
- Deliver ad hoc training to support the onboarding of project stakeholders.
Skills & Experience
Essential
- Proven experience in document control within construction projects (main contractor or subcontractor environment).
- Strong hands‑on experience with Procore (essential).
- Solid understanding of construction documentation.
- Excellent organisational skills and attention to detail.
- Ability to work in a fast‑paced environment.
- Strong communication skills with the ability to liaise with site and office teams, as well as external stakeholders.
- Experience with document numbering conventions and metadata standards.
- Familiarity with approval workflows and audit processes.
Desirable
- Experience on commercial construction projects.
- Familiarity with other platforms (e.g., SharePoint).
