We are seeking a highly conscientious and efficient Mailroom Assistant to support the smooth running of our mailroom and office operations while ensuring excellent service across all departments.

The Role

As a Mailroom Administrator, you will play a key role in ensuring the efficient handling of incoming and outgoing mail, packages, and client goods. Your attention to detail, communication skills, and ability to manage multiple administrative tasks will contribute to the overall efficiency of the company.

Key Responsibilities

  • Sort, file and distribute incoming mail, documents and packages to the appropriate departments or individuals daily without omissions and maintain organised records.
  • Accurately check and log all delivered goods, noting and reporting any missing or damaged goods to supplier.
  • Package clearly Client goods to be sent in a well-presented manner.
  • Liaise with other team members any important information in relation to their order, i.e. if an item needs to be replaced to complete an order, ensure the buyer is aware they need to do so.
  • Liaise with outside companies regarding the packing of hazardous goods.
  • Update team regularly on any outstanding incomplete orders.
  • Manage and respond to emails, forwarding them as necessary.
  • Check the packaging and sending of all items before dispatching all item including overseas.
  • Arrange online returns and follow up with suppliers via online platforms and telephone.
  • Perform general administrative tasks, including ad-hoc research and projects.
  • Communicate with the office on client jobs, ensuring deadlines are met.
  • Oversee and maintain the mail room workspace, ensuring it is kept clean, tidy and free from clutter.
  • Ensure supplies of packing goods, including gift bags, boxes, poly boxes, bubble wrap and packaging tape are well stocked.
  • Any tasks or responsibilities as requested by management within the scope of the position.

What We're Looking For

We are seeking a professional with:

  • Previous office administration experience (Desirable).
  • Experience processing invoices and dealing with stock control (Essential).
  • Strong IT skills, including high competency with MS Office and internet usage (Essential).
  • Strong numerical skills (Essential).
  • Excellent organisational skills and attention to detail.
  • The ability to manage multiple priorities effectively.
