Purpose of the Role
The Assistant Operations Manager is responsible for overseeing the delivery of resident services and day-to-day operational activities across the property, ensuring homes are safe, clean, welcoming and operationally efficient for residents.
The role provides leadership and support to the Operations Assistant and housekeeping teams, ensuring high standards of service delivery, property presentation and resident engagement. Working closely with the Cluster Operations Manager and wider operational teams, the Assistant Operations Manager supports the full student journey from enquiry through to residency, while maintaining a safe and well-managed environment.
The role also supports operational coordination, team development, service delivery and commercial performance across the property, ensuring residents receive a consistently high-quality experience.
Key Responsibilities
Operational Supervision
- Oversee day-to-day operations across the property, ensuring services are delivered efficiently and safely.
- Maintain a visible presence across the property, supporting teams and monitoring service delivery.
- Ensure the community hub is staffed and operational during advertised opening hours.
- Manage team rotas and attendance, ensuring adequate staffing and operational coverage.
- Conduct audits of service areas to ensure high standards of cleanliness and presentation.
- Ensure the property remains safe, clean and well presented for residents and visitors.
- Coordinate communication and handover with the night team to ensure continuity of operations.
Resident Experience & Community Engagement
- Take ownership of the student journey, ensuring residents receive a high-quality experience throughout their stay.
- Drive the service philosophy across the team and promote strong resident engagement.
- Support initiatives that enhance resident experience, including programmes such as Resident Ambassadors.
- Manage resident enquiries, complaints and service issues efficiently.
- Ensure the team remains visible and engaged across the property to support residents.
Sales, Retention & Commercial Performance
- Support the delivery of occupancy and revenue targets.
- Manage the sales pipeline, ensuring strong lead management and viewing conversion.
- Monitor website availability and property listings to ensure accurate information for prospective residents.
- Monitor enquiries received through HE partner channels and ensure timely responses.
- Track competitor offers, pricing and availability and share insights with management.
- Implement retention strategies and personalised incentives to support resident renewals.
- Monitor rent arrears and support proactive resolution.
- Attend marketing and recruitment events where required.
Housekeeping & Property Standards
- Oversee and enforce cleaning schedules and inspection programmes across the property.
- Ensure cleaning and inspection standards are consistently maintained.
- Manage housekeeping stock, PPE and uniforms within the allocated budget.
- Ensure cleaning materials and consumables are stored and handled safely.
- Organise and liaise with third-party cleaning contractors where required.
- Coordinate with waste management providers and promote responsible waste management and recycling across the property.
- Foster strong relationships with external contractors supporting property services.
Team Leadership & Development
- Provide direct line management of the Operations Assistant Team, ensuring clear leadership, direction and support.
- Manage all aspects of people management, including recruitment, performance management, absence management and development, ensuring effective team coverage.
- Oversee and arrange training and development opportunities for team members.
- Ensure mandatory training and e-learning requirements are completed.
- Promote a culture of continuous learning, teamwork and high performance.
- Act as a wellbeing champion, ensuring the team remains responsive to resident needs.
- Ensure compliance with health and safety procedures and operational standards.
- Conduct safety checks and ensure team readiness to respond to emergencies.
- Ensure the Business Continuity Plan and operational protocols are understood by the team.
- Participate in the Duty Manager rota, acting as an escalation point for emergencies when required.
- Provide first-line incident response when on shift and support emergency procedures where required.
Continuous Improvement & Operational Systems
- Record requests, cases and incidents within the CRM system.
- Monitor service performance and identify opportunities to improve operational efficiency.
- Drive continuous improvement initiatives across the property.
- Ensure all activities align with company policies, standards and procedures.
Experience, Skills & Qualifications
- Experience in a customer service, hospitality, residential or property operations environment.
- Experience supervising or leading operational or customer-facing teams.
- Strong organisational and problem-solving skills.
- Ability to manage multiple operational priorities in a fast-paced environment.
- Experience supporting sales, retention or resident engagement activities desirable.
- Good understanding of health and safety procedures.
- Strong communication and leadership skills.
