Purpose of the Role

The Maintenance Manager is responsible for leading the delivery of planned and reactive maintenance across a cluster of properties, ensuring buildings remain safe, compliant and maintained to a high standard.

Reporting to the Cluster Operations Manager and working closely with operational teams and the Central Estates function, the role ensures statutory compliance, operational readiness and efficient delivery of maintenance services across the property estate.

The Maintenance Manager leads the Maintenance Team and coordinates contractors to deliver maintenance programmes, projects and inspections while ensuring the property estate is safe, secure and well maintained. The role combines technical oversight, operational leadership and hands-on support to ensure high standards of building performance and resident safety.

Key Responsibilities

Operational Leadership

  • Lead the delivery of planned, reactive and project-based maintenance services across the property cluster.
  • Ensure statutory compliance and timely completion of maintenance works in line with regulatory requirements.
  • Manage the delivery of PR365 maintenance programmes across properties.
  • Prepare and maintain team attendance rotas, ensuring operational coverage.
  • Act as a point of escalation for emergencies, participating in the Duty Manager rota where required.
  • Support emergency response across properties and provide first-line incident response when on site.
  • Ensure operational activities align with company policies, procedures and technical standards.

Maintenance Delivery & Asset Management

  • Ensure timely delivery of reactive maintenance, inspections and planned preventative maintenance (PPM).
  • Manage maintenance stock levels within the allocated budget to ensure operational readiness.
  • Raise and manage maintenance and pest control cases where required.
  • Monitor maintenance tasks and requests through the CRM system, ensuring issues are resolved promptly.
  • Ensure properties remain safe, well maintained and presented to a high standard.
  • Support property presentation through low-level maintenance, repairs and ad-hoc fixes in communal areas.

Health, Safety & Compliance

  • Ensure compliance with health and safety legislation, fire safety requirements and statutory inspections.
  • Review Risk Assessments and Method Statements (RAMS) prior to works and ensure contractor compliance on site as the Competent Person.
  • Ensure the safety of team members, residents, visitors and contractors across the property estate.
  • Monitor compliance tasks, inspections and testing requirements across buildings.
  • Manage the security of the property, ensuring appropriate safety measures are in place.

Team Leadership & Line Management

  • Provide direct line management of the Maintenance Team, ensuring clear leadership, direction and support.
  • Manage all aspects of people management, including recruitment, performance management, absence management and development.
  • Support team engagement, retention and capability development.
  • Facilitate toolbox talks and training sessions to improve technical capability and safety awareness.
  • Promote teamwork across operational teams and support property teams where required.

Contractor & Supplier Management

  • Build strong relationships with third-party contractors and suppliers to ensure efficient service delivery.
  • Ensure contractor works are completed safely and in accordance with agreed standards.
  • Work collaboratively with Central Estates to support contractor performance monitoring, technical standards, audits and planned programmes of work.
  • Coordinate maintenance works with operational teams to minimise disruption to residents.

Financial Management & Sustainability

  • Manage maintenance stock and operational resources within the allocated maintenance budget.
  • Support the Cluster Operations Manager in managing the property estate budget (P&L) and identifying cost-effective maintenance solutions.
  • Identify opportunities for future capital expenditure and asset improvement.
  • Support the delivery of sustainability initiatives and environmental goals across the property estate.
  • Drive efficiency and cost control across maintenance operations.

Resident Experience & Operational Support

  • Support property teams in resolving resident maintenance issues promptly and professionally.
  • Support resident sales and retention conversations where appropriate.
  • Raise welfare, housekeeping or resident experience cases when required.
  • Maintain high standards of communal areas and property presentation.

Continuous Improvement

  • Foster a culture of continuous improvement and proactive problem-solving across the maintenance team.
  • Identify opportunities to improve maintenance processes, service delivery and operational efficiency.
  • Ensure all requests, cases and operational issues are recorded accurately within the CRM system.
  • Support operational improvement initiatives across the property cluster.

Experience, Skills & Qualifications

  • Experience in a maintenance, facilities management or property maintenance leadership role.
  • Proven experience managing maintenance teams and coordinating contractors.
  • Strong understanding of planned preventative maintenance and reactive maintenance operations.
  • Experience managing health and safety compliance and statutory maintenance requirements.
  • Knowledge of RAMS review and contractor compliance procedures.
  • Strong leadership, communication and stakeholder management skills.
  • Ability to manage operational priorities and budgets within a multi-site environment.
  • IOSH or NEBOSH qualification desirable (or willingness to obtain).
  • Technical knowledge of building systems such as M&E, HVAC or property infrastructure desirable.
