Location: Unipart House, Cowley – with a blended approach to home/office work.

As Commercial Administrator your role is a dual-functional one, providing comprehensive diary and travel management for the Managing Director of Commercial, ensuring seamless meeting logistics, and the professional preparation of executive-level reporting packs. Alongside this you will provide key support for governance of the Customer Engagement (CE) System, overseeing the integrity of the CE System Portal, developing performance dashboards, and managing the end-to-end delivery of the bi-annual Customer Survey. As a highly organised communicator, you will be comfortable chasing stakeholders for data while maintaining a refined approach to complex scheduling and administrative priorities. This is a development opportunity that will introduce you to the business in its entirety, to strategy and decision-making at the highest levels, establishing strong relationships with senior leaders.

Key Responsibilities

  • Coordinate comprehensive diary management – scheduling appointments, meetings, and organising travel arrangements as required, anticipating and resolving any scheduling conflicts, ensuring that appointments are prioritised based on their importance.
  • Proactively manage all logistics for meetings, including handling room bookings, arranging catering, and ensuring equipment setup when required.
  • Record and upload expenses for approval every month.
  • Support the maintenance of all files and uploads for the CE System Portal, and maintain and update CE Reporting for main key measures across all capabilities, including data analysis and supporting agreed reporting cycles – chasing missing files or data to support measurement, highlighting areas for improvement, and ensuring overall adherence.
  • Support the design and implementation of a Dashboard for CE Measures and KPI Performance in conjunction with the IT and CE teams.
  • Support the preparation and administer the bi-annual Customer Survey, managing the setup, internal communication, end-to-end reporting, and data evaluation outputs.
  • Collaborate with the IT Team to produce a monthly KPI Report Pack to be communicated across Go-To-Market (GTM) teams, aimed at driving increased usage of Sales Navigator.
  • Provide general support and input for monthly reporting packs, including but not limited to ELT, BD Council, and Comm Cell Slides – actively inputting, exporting, and analysing data pertaining to our CRM, including but not limited to creating reports, dashboards, highlighting key KPI metrics.
