A busy right-hand role primarily supporting the COO of a single-family office, with some support for the family, Chairman and Senior House Manager when needed.

The role requires a highly skilled generalist and problem solver, ideally with family office assistant or private PA experience. A background or qualification in accounting or finance, or demonstrable experience with accounts and budgets, would be ideal but is not essential.

No two days are the same, and the flexibility to pivot is important. The position requires a positive, can-do and polished individual with sound judgement, excellent interpersonal skills and discretion, to join a hardworking and upbeat team.

Hours: 9am - 5pm

Location: Near Newbury

Salary: Depending on experience

Responsibilities Include:

  • Supporting the COO, family, Chairman and Senior House Manager as required
  • Telephone and reception duties, including updating the telephone directory, providing directions, arranging taxis, and meet-and-greet duties
  • Coordinating contractors onsite, notifying Security, and handling NDAs
  • Liaising with other satellite offices and teams linked to the office
  • Office diary management, including updating annual leave in the team calendar
  • Managing post, correspondence and invitations, as well as couriers and post office errands
  • Assisting with onboarding new employees, recruitment research and HR support
  • Filing and document management
  • Taking weekly department meeting notes
  • Managing first aid supplies, training and related courses
  • Ordering stationery, office supplies and sundries
  • Assisting with overseas property shipments and projects as required, including ad hoc payments
  • Assisting with household budgets across multiple properties
  • Managing expenses, logging and recording relevant information
  • Supporting with Christmas gifts, staff Christmas parties and ad hoc family events as required
  • Vehicle management, including insurance policies, road tax, MOTs and breakdown cover
  • Archive assistance when required
  • Asset tracking and filing

Essential Requirements:

  • Excellent computer literacy, including Outlook, Word (including Mail Merge) and Excel
  • Accounting or financial background, or experience dealing with budgets
  • Driver with a valid licence
