Our client, a leading Fashion Advertising Agency specialising in advertising campaigns across print and digital, as well as branding and packaging, is seeking an experienced Executive Assistant / Studio Manager to work closely with the Founder / Creative Director, acting as a trusted right hand across both business and personal matters, while ensuring the smooth day-to-day running of the studio.
This is a fast-paced and demanding position requiring a high level of organisation, discretion and judgement. The successful candidate will be proactive and detail-oriented, with the ability to anticipate needs, take ownership of responsibilities, and manage a broad and varied workload with confidence and autonomy.
- Hours: 09:30 – 18:30 (with out-of-hours support as required)
- Location: West London (4 days in-office, Fridays typically WFH)
- Salary: £60k-£75k dependent on experience
- Start Date: May 2026

Responsibilities include, but are not limited to:
- Managing a constantly evolving diary across both business and personal commitments
- Coordinating domestic and international travel, including itineraries, accommodation, transport, and last-minute changes
- Full management of day-to-day finances across both business and personal accounts, including payments, supplier invoices, payroll, maintaining accurate financial records, and supporting the preparation of VAT returns
- Acting as the point of contact for external partners, including accountants, agents and other advisors
- Overseeing HR processes, including onboarding and offboarding, as well as pension and private health insurance
- Production support, including preparing shoot estimates, processing staff expenses, job billing, and invoicing client fees and expenses
- Running studio operations, liaising with landlords, agents and contractors regarding maintenance and building works, handling insurance policies, ensuring Health & Safety compliance, and maintaining supplier accounts (IT, telecoms, utilities)
- Studio management, including procurement of supplies, coordinating couriers, preparing for client meetings, and ensuring the smooth running of the studio
- Providing IT support and troubleshooting issues across devices and systems, and acting as a first point of contact for technical queries
- Coordinating with drivers and other relevant parties to support daily logistics
- Scheduling and managing personal appointments
- Running personal and office errands as required, such as gift sourcing and ad hoc requests
Candidates must be / have:
- 7+ years’ experience supporting a senior executive, director or founder in a similar environment
- Strong organisational and time management skills, with the ability to manage multiple priorities and a varied workload
- Proven experience managing financial administration
- High level of discretion in handling confidential personal and business matters
- Confident communicator, able to build effective working relationships across all levels
- Proactive and highly organised, with the ability to work independently and use sound judgement
- Strong technical proficiency across Microsoft Office, Adobe and Apple Mac systems, with the confidence to troubleshoot day-to-day IT issues
- Calm and composed under pressure, with a flexible, solutions-focused approach
- Comfortable working in a small office environment
