Job Purpose
We’re looking for a proactive, organised and detail-oriented People Assistant to join our People Team. With around 200 employees in the UK and more growth ahead, this is a broad, hands-on generalist role that touches every part of the employee experience – ideal for someone who enjoys variety, is comfortable with data and systems, wants to learn fast, and build strong foundations in HR.
You’ll be involved in HR administration, systems, data analysis, benefits, compliance and reporting – helping to keep everything running smoothly. You’ll also support cross-functional projects, learning and development, DE&I initiatives, and internal events. This is a great opportunity for someone early in their HR career who’s keen to learn fast, develop depth across HR fundamentals, and grow in a modern, scaling SaaS business.
We’re looking for someone who’s tech-savvy, process-minded, and curious – whether that’s improving how we run onboarding, streamlining admin tasks, or turning people data into useful insights. You’re the kind of person who spots when a spreadsheet is messy, a process could be clearer, or a dashboard could be automated – and you want to make it better. This is a hybrid role, based in one of our offices, London or Eashing, Surrey, with occasional travel to both offices.
Main Responsibilities
- People Operations: Manage end-to-end employee lifecycle admin: offer letters, contracts, changes, probation tracking, offboarding, references, and leaver documentation
- Ensure all employee records are centralised, accurate, and kept up to date across systems (e.g. HRIS, payroll, benefits platforms)
- Act as the first point of contact for day-to-day employee queries on policies, benefits, systems and processes
- Take minutes during ER meetings (e.g. disciplinary, performance, grievances, redundancies)
- Help track key lifecycle moments (probation, parental leave, returns, etc.) and trigger the necessary actions
- Coordinate onboarding logistics in collaboration with Talent Acquisition, IT, and Office teams – including systems setup, and induction schedules
- Support internal and external audits by gathering accurate documentation and responding to data requests
Data, Reporting & Insights
- Prepare monthly and ad hoc people reports (headcount, turnover, DEI, leavers, engagement) and dashboards
- Conduct data analysis to identify patterns, gaps, or insights to help drive People priorities
- Support quarterly Talent Committee meetings with timely and accurate data and reporting packs
- Support reporting for external purposes (e.g. gender pay gap, ESG, insurance, board packs)
- Suggest ways to improve how we collect, analyse, and visualise people data
- Keep benefits enrolment, changes, and leaver data up to date with providers
- Liaise with providers to resolve benefit-related queries and issues (pensions, private healthcare, insurances, etc.)
- Track eligibility and enrolment timelines (e.g. pensions, private healthcare)
- Maintain up-to-date benefits collateral and documentation for employees
- Help coordinate annual benefits review and communications
- Deliver benefits inductions to new joiners, ensuring clear understanding of options and enrolment processes
Systems, Processes & Improvements
- Take ownership of day-to-day admin processes, with a mindset of continuous improvement
- Maintain and improve our HRIS (Rippling), ensuring workflows are accurate, up-to-date, and scalable as we grow
- Identify pain points in admin processes and help simplify, automate, or digitise them
- Build and maintain internal documentation to make processes clear, repeatable, and scalable
- Support wider People initiatives by contributing to process launches or system rollouts
Culture, Projects & Learning
- Help improve onboarding and offboarding touchpoints, collecting feedback and refining the journey
- Support DE&I initiatives by tracking actions, assisting with communications, and gathering relevant data
- Provide admin support to our Talent Development Manager (e.g. training invites, attendance tracking, feedback forms, learning records)
- Help prepare materials, calendars, or surveys for employee feedback and engagement initiatives
- Support with planning and delivery of employee events, celebrations, and engagement moments
- Collaborate across People, Office, Internal Comms, ESG, and Talent Development teams to support broader cross-functional projects
- Provide cover for the Office Manager during planned absences

You’re confident working with systems and spreadsheets, have a sharp eye for detail, and thrive in environments where you can take ownership and make a real impact.
This role touches every part of the employee experience – from onboarding and benefits to data reporting and employee relations. You\’ll need to be comfortable working with sensitive situations, following clear processes, and supporting others with professionalism and care.
