Title: Executive Assistant (12 month FTC)
Part Time: 4 – 5 half days a week, open to discussion
We are looking for an Executive Assistant who will play a crucial role in supporting the UK Hub General Manager by managing schedules/agenda, communications, and various administrative tasks.
Responsibilities:
- Scheduling and Calendar Management: Organize and maintain the UK GM’s calendar, schedule meetings, and coordinate appointments.
- Ensure all meetings and appointments are scheduled accurately and conflicts are minimized.
- Achieve seamless execution in scheduling, proactively utilize tools, and maintain regular communication with executives to ensure a seamless experience supported by positive feedback from the CEOs, LT Members, as well as the UK Hub GM.
- Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence where needed.
- Travel Arrangements: Plan and book travel, including flights, accommodations, and itineraries. Organize and manage all travel arrangements, ensuring smooth and cost-effective travel.
- Document Preparation: Prepare reports, presentations, and other documents as needed.
- Meeting Support: Take notes during meetings, prepare agendas, and follow up on action items.
- Office Event Management: Ensure the UK GM’s office runs smoothly, including ordering supplies and managing office equipment for the UK GM, as well as supporting employee engagement event activities in the office.
- Confidentiality: Maintain strict confidentiality regarding sensitive information and documents.
Qualifications:
- Experience: Previous experience as an executive assistant or in a similar administrative role.
- Skills: Excellent organizational, communication, and time-management skills. Proficiency in office software such as Microsoft Office Suite.
- Education: A bachelor’s degree in business administration or a related field is often preferred.
- Professionalism: Ability to maintain a high level of professionalism and discretion.
