This role is a critical component in delivering an exceptional client experience. The key responsibilities include but are not limited to:
- Ensuring that UK Partners, FAs and PCMs are well supported in their roles as required, including:
- Obtaining valuations and performance data
- Printing and collating client reports/application packs
- Liaising with providers and clients as needed
- Preparing and actioning required paperwork throughout the client journey, including:
- Working closely with teams across the business to complete processing of dealings, withdrawals, applications, bereavements, power of attorneys
- Letters of engagement and authority
- Invoices
- Managing client data on XPLAN, including:
- Ensuring data is accurate and kept up to date
- Data entry on behalf of Partners, FAs, PCMs
- Audits and ad hoc data management projects
- Processing all incoming and outgoing post and courier arrangements
- Resolving client and adviser queries via post, email and telephone
- Task, inbox and workload management
- Providing general office support, including:
- Phones, reception duties, meeting room bookings
- Supplies management
- Health and safety
- Ad hoc projects
Education
The minimum academic qualification required for this job is any one of the following:
- Diploma from a recognised institution
- Secondary education at A Level with relevant work experience
- Industry qualification such as the IOC/IMC
Knowledge & Experience
The following knowledge/experience is essential:
- Competent level of IT literacy and demonstrable ability to quickly learn and adapt to different systems, platforms and software as required.
- IFA administration β minimum of 5 years:
- Experience working within a financial adviser firm, supporting the advisers by preparing and executing client instructions
- Knowledge on ISAs, GIAs, pensions, offshore bonds and trusts.
- UK regulation:
- Experience with UK regulation and the rules that govern the processes that should be followed, such as GDPR and consumer duty.
The following knowledge/experience will be an advantage:
- Experience using XPLAN
- Experience using investment platforms such as Transact, 7IM and Fidelity
- Industry qualification such as IOC/IMC
- Previous office administration experience
