Working Hours

  • 37.5 hours per week, Monday to Friday (with flexibility during peak periods)
  • Job Purpose

The Academic Administrator will provide high-quality administrative support across Academic Services and Registry, ensuring the effective administration of the student lifecycle from enrolment through to graduation.

The postholder will maintain accurate student records, support academic operations and provide excellent customer service to students, academic staff and professional services teams while ensuring compliance with institutional policies and awarding partner requirements.

Main Duties & Responsibilities

  • Student Administration
  • Maintain accurate and up-to-date student records across approved student information systems.
  • Process student enrolments, registrations, withdrawals, suspensions, transfers and changes to student records.
  • Ensure student documentation is complete, accurate and securely maintained.
  • Maintain electronic filing systems and audit trails in accordance with GDPR requirements.
  • Academic Services
  • Support the administration of student attendance, progression and assessment processes.
  • Assist with timetable administration and programme-related enquiries.
  • Produce student letters, transcripts, status confirmations and other academic documentation.
  • Support examination boards, assessment administration and results processing.
  • Respond to student and staff enquiries professionally and within agreed service standards.
  • Registry and Compliance
  • Ensure compliance with Academy policies, awarding partner regulations and data protection requirements.
  • Carry out data quality checks and resolve or elevate discrepancies.
  • Support internal audits, quality assurance reviews and regulatory reporting.
  • Maintain accurate records to support compliance and audit activities.
  • Student Support
  • Provide high-quality customer service to students throughout their academic journey.
  • Signpost students to Academic Services, Wellbeing, Student Support and other specialist services where appropriate.
  • Support induction, enrolment and student engagement activities.
  • Escalate complex academic or welfare concerns to the appropriate team.
  • Team Working
  • Work collaboratively with Academic Services, Admissions, Finance, Quality and Compliance, Academic Staff and Student Support teams.
  • Support colleagues during registration, enrolment, assessment and graduation periods.
  • Participate in departmental meetings and training activities.
  • Contribute to continuous improvement initiatives within Academic Services.
  • General Responsibilities
  • Maintain professionalism, confidentiality and accuracy in all aspects of the role.
  • Comply with Academy policies, procedures, GDPR and Health & Safety requirements.

Person Specification

Essential Qualifications

  • Bachelor's degree or equivalent relevant professional experience.
  • Minimum two years' experience in an administrative role.
  • Experience working within a customer-focused environment.
  • Experience maintaining accurate records and databases.
  • Experience managing multiple priorities and meeting deadlines.
  • Experience using Microsoft Office, including Word, Excel and Outlook.
  • Experience working within Higher Education or Further Education.
  • Experience in Academic Services, Registry or Student Administration.
  • Experience using student records systems.
  • Knowledge of student lifecycle administration.
