A leading global insurance organisation is seeking an experienced and highly professional Senior Executive Assistant to provide dedicated 1:1 support to the Chief Operating Officer, Global Claims Operations. This is a high-profile, fast-paced role supporting a senior executive within a complex international environment. The successful candidate will be confident managing competing priorities, building strong relationships across global teams, and operating with complete discretion and professionalism.
The Role
- Providing senior-level 1:1 executive support to the COO, Global Claims Operations
- Building strong working relationships with senior leadership teams and direct reports
- Managing complex, high-volume calendars across multiple time zones
- Coordinating meetings, leadership reviews, offsites and business events
- Organising monthly and quarterly business reviews and senior leadership meetings
- Managing a busy inbox, prioritising and actioning correspondence where appropriate
- Arranging extensive international and domestic travel, including flights, accommodation and ground transportation
- Coordinating visas and ensuring compliance with country-specific travel requirements
- Processing expenses via Concur
- Preparing briefing packs, presentations, reports and meeting materials
- Creating and maintaining electronic filing systems and documentation
- Attending meetings, taking minutes and tracking actions through to completion
- Acting as a key point of contact for internal and external stakeholders
- Supporting onboarding activities, including equipment and system access requests for new joiners
About You
We are looking for a proactive, resilient and highly organised Executive Assistant who thrives in a global corporate environment. You will have:
- Extensive Executive Assistant experience supporting C-suite or senior executives
- Previous experience working within a global matrix organisation
- Experience supporting international stakeholders across multiple regions and time zones
- Exceptional diary, meeting and travel management skills
- Strong stakeholder management skills with the ability to interact confidently at senior levels
- Advanced Microsoft Office skills, including PowerPoint, Excel, Outlook and Teams
- Experience using video conferencing platforms and business systems
- Excellent organisational skills with the ability to manage multiple priorities simultaneously
- The ability to handle sensitive and confidential information with absolute discretion
- Strong judgement, attention to detail and problem-solving capabilities
Desirable
- Previous experience within the insurance sector, ideally Claims
- Experience supporting senior leaders within a global insurance or financial services organisation
- Familiarity with Concur expense management
