As an Events Project Coordinator, your role is crucial in ensuring the seamless execution of a diverse range of events, from conception to completion. You will primarily focus on intricate logistical coordination, efficient event management, and strategic transportation planning. Collaborating closely with the Production team, your efforts will contribute significantly to the flawless delivery of events, spanning from intimate expos to expansive exhibitions. Additionally, your commitment to nurturing client relationships will play a pivotal part in fostering repeat business opportunities.
Your responsibilities encompass executing end-to-end event management tasks, such as scheduling, coordinating vendors, allocating resources and overseeing on-site operations to ensure events unfold seamlessly.
Key Responsibilities- Supporting on OrangeDoor events, exhibitions and conferences
- Creating and updating the Project Master and Playbook documents
- Creating POs for purchases within our finance system
- Updating budget lines
- Arranging project internal and external WIP calls
- Internal emails and general admin including timesheets
- Handling all shipments and deliveries for events
- Researching and sourcing incentives/giveaways based on briefs, PPT ideas for client, logistics of fulfilling and shipping
- Working with the events team to research into entertainment/activities for events
- Contributing to client proposals based on briefs
- Attending events to support event teams
- Updating team event calendar based on new live jobs on the NB WIP
- Team admin as required
- Sending and receiving event equipment to and from events with preferred suppliers
- Liaising with courier services to ensure kit arrives at storage ready for shipment to events and expos
- Securely packaging kit before sending out so that damages are prevented

- General team emails

- Events degree or equivalent industry experience
- Fully literate in Microsoft Word, Excel and Outlook
- Additional languages would be desirable
- Ability to communicate at senior level
- Critical thinking
- Good working knowledge of geographical locations
- Strong communication skills, both verbal and written
- Ability to work in a well ordered and methodical manner
- Ability to keep client and Company information confidential
- Can work effectively independently
- Ideally has experience of working within a similar environment
- Previous experience with undertaking risk assessments and method statements
- Wide knowledge of all current, new and upcoming technical products

- Hours: 37.5 hours per week
- Location: Bromley, Greater London (office-based / hybrid - 1 or 2 days in office per week)
