This is a highly autonomous role suited to someone who thrives in complexity, combines strong execution with process design skills, and knows when to optimise existing operating models versus creating new ones from scratch.
Responsibilities
- Process & Workflow Management
- Execute and optimise end‑to‑end product workflows from ideation through launch, identifying opportunities to improve efficiency using AI‑enabled tools.
- Design and implement new standardised operating procedures for product releases as gaps and scaling needs emerge.
- Maintain and evolve cross‑functional communication frameworks across Product, Engineering, Sales, and Customer Success teams.
- Own and continuously improve product documentation standards and knowledge‑management systems, leveraging AI to enhance accuracy and accessibility.
- Data Management & Reporting
- Build and maintain dashboards covering finance agreements, cost tracking, and revenue metrics, exploring AI‑driven automation and analytics where applicable.
- Deliver regular operational reporting and insights for senior leadership.
- Track product performance data and operational KPIs, supporting data quality and troubleshooting reporting issues.
- Use AI tools to identify trends, anomalies, and improvement opportunities within operational data.
- Tool & Licence Management
- Own tracking and governance of all product tools, platforms, and software licences.
- Manage budgets, usage rates, renewals, and ROI analysis across product tooling.
- Conduct regular audits to identify under‑utilised or redundant tools and optimise spend.
- Partner with Finance and Procurement on renewals, forecasting, and vendor management.
- Project Coordination & Enablement
- Independently run product enablement and sales pipeline meetings, including agendas, documentation, and action tracking.
- Own timelines and deliverables for operational improvement initiatives.
- Drive cross‑functional alignment to ensure consistent and effective execution.
- Proactively identify operational gaps and design scalable, pragmatic solutions.
Qualifications

- Demonstrable experience in product operations, project management, or operational roles within fast‑paced environments at manager or senior manager level.
- Proven ability to execute complex operational systems and design new processes from scratch.
- Strong systems thinking with a track record of identifying gaps and delivering scalable solutions.
- Deep experience building dashboards, tracking systems, and operational reporting frameworks.
- Practical experience using AI tools (e.g. ChatGPT, Claude or similar) to improve workflows and productivity.
- Advanced proficiency with operational tools such as Jira, Smartsheet, or similar.
- Excellent organisational skills, attention to detail, and ability to manage multiple workstreams.
- Clear, confident communication skills and the judgment to operate autonomously.
Nice to Have
- Experience within digital media, performance marketing, or marketing technology environments.
- Familiarity with programmatic, search, social, and commerce channels.
- Hands‑on experience implementing automation or AI‑driven operational improvements.
