As a Financial Assistant, you’ll help keep Ultralytics running at full speed by ensuring our core finance operations are accurate, timely, and scalable. You’ll support day‑to‑day execution across AP/AR, reconciliations, and month‑end close processes — helping finance stay ahead as we grow. You’ll work closely with Finance, People Ops, Sales, Marketing and other teams, partnering on tooling and workflows across QuickBooks, HubSpot, Payfit, Google Sheets, and Rippling. Your work will directly impact reporting quality and month‑end reliability.

What you’ll do
- Accounts Payable (AP): Process supplier invoices, validate approvals, and maintain accurate data in QuickBooks. Maintain vendor records, tax details, and documentation.
- Accounts Receivable (AR) & credit control: Issue invoices, track collections, and follow up on overdue balances with clear prioritisation. Support revenue operations coordination using HubSpot for customer and billing context.
- Bank reconciliation & month‑end close: Perform regular bank reconciliations and resolve variances quickly and accurately. Support month‑end close tasks, schedules, and checklist completion with tight timelines. Maintain clean ledgers and supporting schedules in Google Sheets.
- Reporting & finance operations: Prepare internal finance reporting packs and assist with external reporting requirements. Support payroll‑related finance coordination alongside Payfit and People Ops. Help improve workflows, controls, and documentation as we scale (SOPs, checklists, trackers).
Skills and experience
Core requirements: 1‑3+ years in finance operations, accounting support, or a similar role in a scaling environment. Hands‑on experience with QuickBooks or similar accounting tools and strong proficiency in Google Sheets. Practical ownership of AP, AR, bank reconciliation, month‑end close, and credit control. Strong accuracy, attention to detail, and ability to manage deadlines with minimal oversight. Clear communication and reliable collaboration across teams in an in‑office setup.
Nice to have: Experience with HubSpot, Rippling, and/or Payfit in a finance or ops context. Exposure to SaaS billing, multi‑entity setups, and multi‑currency transactions. Familiarity with audit support, external reporting requests, or basic accounting controls. Interest in AI and developer ecosystems. Comfort working with open‑source communities and fast iteration cycles.
