We’re looking for a highly organised, proactive Executive Assistant & Operations Coordinator to work closely with the founder of ULTRA - a private peer group for CEOs and Managing Directors of established businesses.
ULTRA brings together small groups of senior leaders from across the UK for confidential, monthly conversations about the real challenges of running a business. Meetings take place in carefully selected venues and private dining spaces, creating an environment where leaders can speak openly and learn from each other.
As the business continues to grow, we’re looking for someone who can help keep everything running smoothly behind the scenes. You’ll work directly with the founder, helping to coordinate members, organise meetings, and support the day-to-day operations of the business. This role would suit someone who takes pride in being highly organised, enjoys working closely with a founder, and is comfortable bringing structure and calm to a fast-moving environment.
What You’ll Be Doing
You’ll play a key role in keeping things organised and moving forward. Responsibilities include:
- Managing the founder’s diary and scheduling
- Keeping on top of emails, follow-ups, and communications
- Following structured processes to prepare and coordinate monthly meetings
- Liaising with venues and external suppliers
- Organising attendee lists and confirmations
- Supporting new members as they join ULTRA
- Maintaining documents and keeping systems organised
- Following up on actions and ensuring nothing gets missed
- Supporting the smooth running of day-to-day operations
- Assisting with coordination around events and communications
- Supporting meetings in person, including set-up, coordination and assisting during sessions
You’ll initially spend time learning how everything works, with support from the current assistant, before gradually taking ownership of key areas.
About You
We’re looking for someone who is naturally organised, thoughtful, and dependable. You will likely:

- Communicate clearly and professionally, particularly in writing
- Feel comfortable interacting with senior business leaders
- Be able to manage multiple priorities calmly and effectively

Experience in a similar role (Executive Assistant, PA, Operations or Events coordination) is helpful, but not essential - attitude and approach matter just as much. A full UK driving licence and access to a car is required due to travel involved in the role.
Working Arrangement
The role is based in South Wales with a hybrid working structure. There will be regular in-person meetings and events across Cardiff, Bristol, Cheltenham and London, with occasional travel elsewhere. On event days, you should be comfortable with early starts or later finishes when required. Flexibility is offered outside of these times.
Salary
£25,000 – £28,000 depending on experience
