About the Role

Ultra LEDs is a fast-growing lighting specialist supplying innovative LED products to trade and commercial customers across the UK and internationally. We are looking for a highly organised and detail-focused Buyer’s Admin Assistant to support our Product & Buying team. This is a key administrative role responsible for ensuring product data accuracy, managing critical paths, coordinating technical assessments and supporting suppliers throughout the product lifecycle. This role is ideal for someone who enjoys structured, task-focused work and wants to build a strong foundation within a Buying or Product environment, and is a full-time, office based role.

Key Responsibilities

  • Product & Data Management
    • Maintain accurate product and pricing data across internal systems
    • Create and update SKUs, range plans and essential system information
    • Support the creation of accurate and engaging product listings
  • Critical Path & Process Management
    • Monitor and manage the buying critical path from brief through to launch
    • Track deadlines and highlight risks to ensure projects remain on schedule
    • Contribute updates in weekly team meetings
  • Technical & Compliance Coordination
    • Track technical assessments, certification checks and approvals
    • Review inspection reports and escalate issues where necessary
    • Liaise with suppliers and internal teams to resolve queries
  • Supplier & Sample Coordination
    • Liaise professionally with suppliers to gather product data, design files, labelling and packaging assets
    • Coordinate and manage product samples, ensuring they are tracked and organised
  • Team & Cross-Functional Support
    • Work closely with Buying, Merchandising, Marketing and Technical teams
    • Identify process improvements to enhance efficiency and accuracy
    • Support wider team objectives as required

About You

  • Previous experience in an administrative, buying or product support role preferred
  • Strong attention to detail with high levels of accuracy
  • Excellent organisation and time management skills
  • Confident communicator, both written and verbal
  • Comfortable working with systems and data
  • Proactive, reliable and able to work in a fast-paced environment
  • Positive, can-do attitude with a “right first time” mindset
  • Enthusiastic about developing within a Buying or Product career
