Based at our Cyber Centre of Excellence in Maidenhead, with hybrid working available. At Ultra Cyber we are seeking a keen, driven, energetic individual to join our Programmes team, in a role that will be split 50/50 across projects and resource management / governance. Your attitude and desire to learn and develop will be key here, and is seen as more of an essential requirement than previous experience in a projects / resource management environment.
Specific responsibilities
- Support the Head of Programme Discipline by:
- Facilitating the monthly resource management (forward load) process, liaising with department heads and PMs to ensure the demand for resources is accurate.
- Performing data analysis which supports SLT decision making.
- Ensuring the Business Management System is kept up to date in relation to working processes, procedures and practices.
- Supporting project audits, both internal and external.
- Support Project Managers by:
- Maintaining project schedules, ensuring timely, responsive completion of deliverables.
- Coordinating the availability of resources, including personnel, equipment and materials to ensure timely project execution and minimise delays.
- Organising regular project meetings, maintaining clear communication of progress updates and ensuring action items are tracked and completed.
- Ensuring project documentation is maintained and made available in accordance with project management processes and company policies.
- Identifying project risks and issues, develop resolution strategies and implement measures to minimise impact to project timelines.
- Tracking and monitor project budgets, where necessary coordinate with PMs and Finance to address any cost related concerns.
- Managing the change request process, ensuring any changes to scope, schedule, or resources are properly documented and are effectively communicated to all relevant stakeholders.
Essential:
- Data Literacy: Analysing resource spreadsheets and identifying allocation bottlenecks or scheduling conflicts.
- Attention to Detail: Reviewing project deliverables against established compliance, methodology, and governance frameworks without cutting corners.
- Communication & Stakeholder Management: Following up assertively but politely with busy project managers and team members to gather status updates.
- Proficiency in Core Tools: Strong mastery of Microsoft Excel (for resource tracking) and standard project management software (eg MS Project).
- Security Clearance: candidates must be able to obtain and maintain the required level of security clearance.
Nice-to-Have:
- Project Administration: Tracking project schedules, maintaining RAID logs (Risks, Assumptions, Issues, Dependencies), and documenting accurate meeting minutes.
- Resource Management Software: Experience with dedicated capacity planning tools.
- Governance Frameworks: Familiarity with specific project methodologies like Agile, Scrum, or PRINCE2.
- Introductory Certifications: Holding a APM or a PRINCE2 Foundation certification.
- Process Improvement: Experience identifying inefficiencies in a workflow and suggesting ways to streamline a project process.

Applicants must be able to obtain and maintain the appropriate level of security clearance for the role. Due to the nature of our work, you must be a British Citizen who has been resident in the UK for the past 5 years in order to apply for SC clearance and 10 years for DV.
