We are looking for a Personal Assistant (m/f/d) to the Global Head of Broker Management in London and the Global Head of Marketing in Toronto.
The role is based in our office in London.
The assistant will provide efficient, responsive support across diary management, travel arrangement and general administration, helping to manage and prioritise time effectively.
By taking ownership of tasks that can be delegated, the assistant will allow the team to focus on the bigger, more strategic picture.
The assistant may also step in and contribute to key projects when needed.
Responsibilities
- Coordinate and schedule a busy calendar of both internal and external meetings across multiple countries and time zones.
Build strong working relationships with the PAs and EAs of internal and external stakeholders to ensure smooth scheduling and communication.
- Organise end-to-end travel across Europe and intercontinentally, including flights, hotels, airport transfers, taxis, and any other logistics needed to keep trips running seamlessly.
- Filter emails, highlight urgent correspondence, filter phone calls and invitations.
- Act as the go-to person for all direct reports, as well as internal and external stakeholders, building strong relationships and keeping communication flowing smoothly and diplomatically.
- Prepare agendas, and provide support by creating presentations and reports.
- Contribute to and coordinate ad-hoc projects and initiatives.
- Undertake other duties as requested.
- What You’ll Bring to the Role
- Proven senior PA experience within Financial Services, with a natural ability to build rapport at all levels and the kind of organisational skills that keep everything running like clockwork.
- Used to handling complex international diary management and travel.
- Competent user of Microsoft Office applications: Outlook, Power Point, Excel, Word.
- Excellent interpersonal skills at every level of the organisation.
- Tact and discretion.
- Well-developed ability to filter information, assess priorities and work independently.
- Able to remain calm and focused under pressure.
- Service-minded, resilient and able to find solutions.
- Impeccable written and spoken English.
- A basic understanding of artificial intelligence (AI) and its potential applications in business is essential.
