Travel Coordinator and Business Development Support

About the role
We have an exciting opportunity for a highly motivated outward facing individual to be our Travel Coordinator and Business Development Support. You will be responsible for the management of our permission to travel system, ensuring appropriate plans are in place for all BGS travellers. You will work with the Business Development (BD) team and BGS scientists advising on travel policy and supporting the BD team who lead on income generating activities for BGS. The post requires someone capable of being highly responsive.
The ideal candidate should be a highly self-motivated and self-starting individual who seeks to take advantage of the opportunity to develop their business and organisational skills. The successful candidate will have excellent communication and organisation skills. The key duties and responsibilities of the role are:
Travel Coordination
- Advise and assist BGS staff working overseas following corporate processes, including administration of permission to travel submissions and day to day point of contact for travelling staff
- Work with H&S to ensure emergency plans are in place and that any higher risk trips are escalated as appropriate, including to Director of Operations if necessary. Support resolution of issues as appropriate, e.g. seek updates from insurance company, advise on lost luggage etc
- Knowledgeable in travel policies (BGS, NERC, UKRI) and liaise with our parent organisation on Overseas T&Cās / policy updates and confident in enforcing travel procedures and rules
- BGS travel insurance liaison and coordination with corporate travel provider. Responsible for production of annual statistics and travel patterns.
- Work with a small BGS team on travel management and communicate with wider BGS staff on use of travel systems and advise on corporate support.
Support to the Head of BD and wider BD Team
- Support BD use of a database/software system to manage customer relations and contract/licensing information
- General administrative support including travel and accommodation booking, report formatting, minute taking etc
- Monthly financial and progress reports
- Assist team with bid compilation and updating corporate bid information as required
- Support the BD team with external income opportunities and tracking
- Produce and present reports on business development budget and activities
- Create, review and implement guidance, documents, policies, and procedures for business processes
- Contribute to BD and travel intranet pages and web pages, taking specific responsibility for ensuring information is up to date
About you
With experience of a customer focused role, you will also need to be flexible, demonstrate the ability to be decisive when faced with key information and be able to demonstrate methods of managing role-based pressure and skills to satisfy customer needs. You are expected to be proficient in Microsoft Office, in particular Excel and Word and be willing to learn new systems.

Essential
- Educated to A-Level or level 3 apprentice qualification standard. GCSEs to include pass in English and Maths (S)
- Experience working in an office administrative role (S/I)
- Experience in analysing data and critical review of documents/files (S/I)
- Demonstrate methods of managing role-based pressure including prioritise work, adapt to changing priorities and ability to meet tight deadlines. (S/I)
- Experience of presenting written materials appropriately for a senior audience (S/I)
- You will be committed to a diverse and inclusive approach to work in the geosciences (S&I)
- Effective written communication skills and excellent attention to detail (S/I)
- Ability to work unsupervised and as part of a team showing empathy with the needs of the business and colleagues (S/I)
Desirable
- Proficiency in corporate, travel and tender based systems e.g. Oracle Fusion, ClarityGo, ISOS, Find a Tender, etc. (S/I)
- Experience in travel coordination role, understanding of international travel processes, risk, assistance and resolution (S/I)
- Experience in BD administration environment (S/I)
