We are seeking a versatile, professional and proactive individual to join our team as a Logistics and Compliance Co-Ordinator. In this multifaceted role, you will play a vital part in supporting the Clinical Logistics Manager, ensuring day to day operations run smoothly across clinics nationwide. You will be happy taking ownership of tasks and will be confident in your ability to prioritise. You will be comfortable with change and can quickly adapt where necessary. This position offers an exciting opportunity to get stuck in within a fast-paced growing environment, working flexibly alongside and supporting the Clinical Logistics Manager with a proactive manner, whilst immersing yourself into two areas of the business – Logistics and Compliance. No experience is required as you will have the opportunity to learn on the go, leading to exciting developmental opportunities in the future.
Key Responsibilities
- Contribute to the efficient functioning of our clinics to ensure a seamless experience for our patients and clinical team.
- Day to day management of the invoice and logistics inboxes, replying where possible and raising any concerns or issues that you can’t respond to the Clinical Logistics Manager.
- Co-ordinate and execute quarterly/end of year stock takes across all clinics nationwide.
- Be on site across clinics to manage deliveries as required. Responsible for checking in inventory and ensuring stock is well organised for the team to use.
- Reconcile weekly and monthly clinical rent and stock invoices then confirm and flag concerns to the Accounts department.
- Support Clinical Logistics Manager to coordinate with clinics to confirm rooms and availability for clinical scheduling.
- Support Clinical Logistics Manager to coordinate with clinicians to reconfirm availability for clinical shifts across nationwide locations.
- Request outstanding stock lists/orders from clinical team.
Compliance and CQC
- Update training records and assist with uploading documentation to HR files.
- Update site documentation and records to ensure CQC compliance across locations.
- Keeping up to date with changes to CQC, monitoring and building an understanding of how the inspection process works.
- Support the Clinic Logistics Manager in ensuring that all notable incidents are recorded and analysed, and appropriate actions are taken to prevent reoccurrence.
- Assist in the preparations and execution of audits, and ongoing monitoring, actions and documentation for ISO certification.
- Assist in preparation for CQC inspections, working with the Medical Director to prepare clinics for CQC audits and inspections. Actively participating in the inspection process, ensuring that all documentation and procedures meet the CQC requirements.
Requirements
- Previous experience in a healthcare or clinic setting is preferable.
- Experience in quality management systems is preferable.
- Excellent communication skills, both verbal and written, with a professional and empathetic demeanour.
- Strong organisational and time management abilities, with a keen attention to detail.
- Proficiency in using computer systems and software for data entry, scheduling, and document management.
- Flexibility to adapt to changing priorities and willingness to take on new responsibilities as needed.
Location
In person, full time - office or clinic based. London, UK, with some travel required (expectation is to visit each clinic at least once a year).
