This role offers an opportunity to join UKSBS as part of the Information Management Assurance team. It is a key role for an experienced information management professional who is passionate about good information governance and confident providing advice, assurance and guidance across data protection, freedom of information and records management. You will work closely with the Information Manager and Data Protection Officer and act as a trusted adviser to colleagues across the business.
Duties
- Develop and maintain effective information and records management in UKSBS’s EDRMS (SharePoint, Oracle & Workday), e.g. working with the business to develop file plans, retention labels, metadata, etc.
- Working with the business to define and manage the retention and disposition of information.
- Oversee the management of digital and/or paper-based records.
- Manage and maintain the Information Asset Register (IAR).
- Champion Data Protection Impact Assessments by advising when assessments are needed, reviewing the nature, scope, context, and purposes of the processing involved, and supporting the monitoring of risk mitigation actions.
- Conduct and complete Internal Reviews within the deadlines under the Data Protection Act (DPA) 2018, Freedom of Information Act 2000 (FOIA) and Environmental Information Regulations (EIR) 2004.
- Provide specialist technical advice and guidance to colleagues involved in providing responses for requests under the DPA 2018, FOIA, EIR 2004 and Parliamentary Questions.
- Maintain and coordinate UKSBS’s Publication Scheme to comply with FOIA.
- Manage Data Processing Contracts and Data Sharing Agreements in line with the DPA 2018.
- Contribute to the review and development of UKSBS’s Record of Processing Activities (RoPA).
- Contribute to the development of policies and guidance to ensure the organisation complies with its statutory and regulatory responsibilities relevant to the role.
- Provide advice and guidance on more complex areas of the DPA 2018, acting as a point of escalation for advice, support, guidance and training.
- Input into monthly reports to committees and senior management groups on training, data breaches and information management activity.
- Build effective relationships with key internal and external stakeholders.
- Proactively identify and contribute to continuous improvement of systems and processes to ensure procedures, policies and guidance remain aligned with legislative change.
- Support the Information Manager and Data Protection Officer in ensuring UKSBS complies with information management and data protection legislation.
- Support information management projects of increased complexity and negotiate with key stakeholders.
- Facilitate workshops and support the transfer of information management knowledge across the business.
Qualifications
- Significant experience in information management, data protection, freedom of information or records management.
- Strong working knowledge of relevant legislation, including the Data Protection Act 2018 and Freedom of Information Act.
- Experience using Microsoft 365 tools to support effective information and records management.
- Experience developing, implementing or supporting information management policies, guidance and procedures.
- Experience managing file plans, metadata, permissions and retention within an electronic records management system.
- Strong analytical skills with the ability to interpret business needs and apply practical information management solutions.
- Excellent communication skills with the ability to explain complex subject matter clearly to a range of audiences.
- Ability to work collaboratively with colleagues and stakeholders.
Advantageous but not essential
- Professional qualifications in data protection, records management or information governance.
- Experience designing or delivering training or awareness activity.
- Experience working in a public sector or regulated environment.
- Awareness of information security standards such as ISO 27001.
