Job description

This position is advertised at 37 hours per week.

The role of the Project Support Officer covers a diverse range of activities to support the delivery of the programme’s objectives.

The post holder will enable the smooth running of the project by supporting the team through the operation of project management processes, and the co-ordination of business management actions and activities.

They will build positive relations with other project management teams and key stakeholders across the project delivery community.

They will support working groups and committees, acting as secretary as appropriate and as directed by their Line Manager. They will provide support in the delivery of project boards and project management activities.

Desirable skills :

  • Planning and scheduling : Assist with and maintain appropriate systems to enable effective planning and scheduling.
  • Monitoring and reporting: Assist in maintaining project controls and in producing project reports.
  • Admin : Act as the focal point for file management systems adhering to robust version control. Organise key project meetings and provide secretariat support.
  • Stakeholder: Assist with maintaining the stakeholder log for internal and external stakeholders. Act as the focal point for project responses to external requests for information.
  • Digital & Data : Support with the use of digital tools and data analytics for better project delivery outcomes.
  • Risks and Issues: Assist with and maintain risk and issue logs, escalating as appropriate.

Person specification

The role of the Project Support Officer is to support governance activity and information management and will assist the team to deliver the outputs required. Strong IT skills will be beneficial.

The successful candidate will have good relationship management skills as they will be required to build and maintain strong working relationships with internal and external stakeholders.

They will have experience in collaboratively working with team members and other key stakeholders to support the team at governance boards and other key meetings. Excellent communication skills are required, written and verbal.

The successful candidate will have the ability to manage competing priorities and be confident in raising issues with their Line Manager for escalation or guidance in a timely manner.

They will be proficient in the use of Microsoft Office and associated applications and will be willing to undertake training opportunities that support the team and develop their individual professional skills and knowledge.

A team player, they must be able participate in and contribute towards the small team.
