The Role

We are seeking an organised and proactive Events Coordinator to support the successful planning, coordination, and delivery of UKMC's events programme.

Working closely with the Events Manager, you will provide administrative, logistical, and operational support across a range of internal and external events.

You will liaise with internal departments, suppliers, and stakeholders to ensure event activities are delivered on schedule, resources are in place, and events run smoothly from planning through to completion.

Key Responsibilities

  • Event Planning and Coordination
  • Support the Events Manager in the planning, coordination, and delivery of internal and external events.
  • Assist with event logistics, scheduling, and operational planning.
  • Maintain the UKMC Events Calendar and ensure event information is accurate and up to date.
  • Support event administration, documentation, and record-keeping processes.
  • Supplier and Stakeholder Management
  • Liaise with internal departments, suppliers, and the Marketing team to ensure event deadlines and requirements are met.
  • Obtain quotations from suppliers and support sourcing activities where required.
  • Follow up on orders, deliveries, and supplier communications to ensure event needs are fulfilled.
  • Build and maintain positive working relationships with internal and external stakeholders.
  • Event Delivery
  • Assist in the preparation and coordination of event materials, resources, and supplies.
  • Provide on-site support for event setup, delivery, and breakdown.
  • Ensure event plans are followed and support the smooth operation of events.
  • Troubleshoot and resolve minor operational issues during event delivery where appropriate.
  • General Support
  • Contribute to the continuous improvement of event planning and delivery processes.
  • Support post-event administration and feedback collection activities.
  • Undertake any other duties reasonably required to support the Events Manager and the successful delivery of UKMC's events programme.

About You

Essential Criteria

  • Degree-level education or equivalent relevant experience.
  • Minimum of 2 years' experience in an events coordination or similar support role.
  • Experience supporting the planning and delivery of events.
  • Experience working with internal stakeholders and external suppliers.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Power Point.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines.
  • High level of accuracy and attention to detail.
  • Proactive, adaptable, and solution-focused approach.

Desirable

  • Experience supporting conferences, higher education events, student events, or corporate events.
  • Previous experience within the education or higher education sector.
  • Experience working across multiple event locations.
