We are looking for an Executive Officer to join the Clerk of the Parliaments Office in the House of Lords. This is a position where you will be able to support some of our most senior colleagues and members on a daily basis, undertaking a range of tasks from diary management to drafting the daily procedural brief for the Lord Speaker to setting up the House of Lords chamber for the daily proceedings. This is an exciting opportunity if you enjoy a fast-paced, dynamic working environment and thrive on working with multiple colleagues and teams to deliver an exceptional service, working in the historic Palace of Westminster. There is also the option to work on a hybrid basis 1 to 2 days a week, depending on business need.

You will be responsible for:

  • Facilitating the sittings of the House, including setting up the Chamber, preparing briefing materials for Chamber and Grand Committee sittings, and assisting with procedural documentation.
  • Providing high-level secretarial support to senior officials, including managing diaries, scheduling meetings, preparing agendas and following up on action points.
  • Acting as a key point of contact for internal and external stakeholders, including Members, their staff, parliamentary offices, and government departments, ensuring smooth communication and collaboration.
  • Drafting and processing correspondence, managing generic email accounts, and maintaining office records, including document filing and version control using SharePoint.
  • Processing invoices and assisting with the purchase of office supplies, IT equipment, and other resources.
  • Providing a professional front-of-house service for the Clerk of the Parliaments Office, assisting with IT troubleshooting, managing the duty rota for Table Clerks, and ensuring seamless office coverage, particularly during recess periods.

Skilled in tailoring communication styles to different stakeholders and maintaining diplomacy in all interactions.
  • Professionalism, Tact, and Discretion: Strong interpersonal skills, with the ability to engage confidently with senior stakeholders, handle sensitive or confidential matters with discretion, and represent the Clerk of the Parliaments' Office professionally in all interactions.
  • Efficiency and Organisation: Strong organisational and time-management skills, with the ability to manage multiple priorities, meet tight deadlines, and adapt to changing demands. Able to work efficiently under pressure while maintaining accuracy, attention to detail, and high-quality output.
  • Understanding of Parliament: An understanding of the basic role and workings of the House of Lords.
  • Teamwork and Collaboration: Proven experience of working effectively as part of a team, demonstrating reliability, flexibility, and the ability to adapt to different situations, individuals, and groups. Ability to foster positive working relationships at all levels within and outside the House of Lords.

It would be even better if you had:

  • Experience of working with senior level staff.
  • Good understanding of Records Management disposal practices.
  • Experience of using content management systems to update websites.
  • Good IT skills and experience using MS Word, Outlook and Excel.
