Role Overview

We’re looking for an Onsite Parts & Fleet Coordinator to support our engineers in the field and help with the day-to-day coordination of our vehicle fleet.

You’ll be a key point of contact for engineers attending breakdowns and repairs, helping them find the parts, information and practical solutions they need to get the job completed.

Alongside this, you’ll work closely with our Fleet Manager to coordinate vehicle servicing and repairs, van movements and the preparation of vans for new and existing engineers.

It’s a varied, hands-on role where priorities can change quickly, so we’re looking for someone who is organised, practical and comfortable getting stuck in and finding solutions.

Key Responsibilities

  • Speak with engineers on site to understand what they need to complete breakdowns and repairs.
  • Contact suppliers to source suitable parts, check availability and arrange supply.
  • Help find practical solutions when an engineer is unable to complete a job as planned.
  • Keep engineers and colleagues updated on parts requests, progress and any delays.
  • Assist the Fleet Manager with booking vans in for servicing, repairs, inspections and other vehicle appointments.
  • Coordinate and record van movements between depots, suppliers and other locations.
  • Occasionally drive company vans to different locations. Some journeys may require flexibility outside the usual 08:00–17:00 working hours.
  • Check, organise and prepare van stock before vehicles are issued to new engineers.
  • Check stock in vans returned to the main depot and record any missing, damaged or required items.
  • Arrange replacement or additional stock where required.
  • Maintain accurate records of parts requests, stock checks, vehicle bookings and vehicle movements.
  • Work closely with engineers, suppliers, Fleet and Operations to keep things moving and minimise delays.

What We're Looking For

We’re looking for someone who is practical, organised and good at getting things done.

You’ll need:

  • A full UK driving licence.
  • A can-do attitude and strong work ethic.
  • Clear communication skills and confidence speaking with engineers, suppliers and colleagues.
  • Good organisation and the ability to manage several requests at the same time.
  • A practical approach to problem-solving and the ability to follow issues through to completion.
  • Good attention to detail, particularly when checking stock, arranging bookings and recording information.
  • The ability to work calmly when priorities change and jobs need dealing with quickly.

Experience in parts, fleet administration, stock control, vehicle logistics, engineering support or a similar role would be useful, but it isn’t essential. More important is having the right attitude, being willing to learn and being someone who takes ownership of getting things sorted.
