Role and Department
Job overview We are looking for a V&I Programme Operations Support to join the Commercial, Vaccines and Countermeasures Delivery (CVCD) directorate. The CVCD directorate is pivotal to UKHSA\\\’s mission, overseeing the comprehensive delivery of commercial, contract management, and business development functions. It manages a vast commercial portfolio, ensuring the agency has the resources to address health security threats. The directorate leads the procurement, storage, and distribution of vaccines and countermeasures for national immunisation and emergency response programmes. It fosters industry partnerships, drives strategic market engagement, and builds supply chain resilience. Additionally, the team is responsible for investment governance, dispute management, and building commercial capabilities. They also develop and execute strategies for income generation, leveraging UKHSA\\\’s expertise and facilities to secure funding and commercial opportunities. This role is part of the Vaccines Programmes and Operations division and reports into the Vaccine Programme Operations Project Lead. This role supports the G7 lead, and SEO, in delivering on a set of immunisation programmes, taking action on the programme of work to contribute to continued supply of vaccine for those specific programmes. You will support the smooth running of the project by supporting the Project Lead through operations processes, and the co-ordination of business management actions and activities on their behalf.

Main responsibilities
- Manage and liaise with internal and external stakeholders.
- Act as a point of contact for internal operations stakeholders across the Directorate.
- Implement and maintain systems to enable effective planning and scheduling.
- Supporting the development of business cases.
- Support and feed into correspondence relating to operations.
- Manage queries relating to project and operations support.
- Produce project status reports, performance data and research new information.
- Support the Project Lead with planning.
- Build and maintain strong professional relationships with a wide range of internal and external stakeholders.
- Maintain a central repository of current and historic documentation in relation to projects and programmes being supported.
- Act as point of contact for project responses to requests for information and signpost accordingly.
- Monitor the project spend, compile budgets, and support the development of business cases.
- Support project and project/programme team by facilitating process sharing, meetings, note taking and governance.
- Maintain the project asset register.
- Maintain the project risk and issues log, working with risk managers to resolve issues and escalating where appropriate.
- Support the Governance and Reporting of a project/programme with data gathering from stakeholders to enable reporting and decision making, using standard templates.

Qualifications and desirable criteria

- Strong interpersonal skills, and the ability to develop effective relationships with a wide range of stakeholders.
- Ability to quickly understand the core aspects of the vaccine programs that they are supporting, and how to access the range of expertise needed across to maximise impact.
- Strong capability in using Microsoft Office applications, including Excel, Word, and PowerPoint.
- Ability to support with the preparation of business cases.
Desirable Criteria
- Working knowledge in a project or programme environment covering planning, scheduling, resource management, risk and issue management, change control, governance, project methodologies and assurance.
- Experience of working in an operational role.
Successful candidates must pass a disclosure and barring security check. The level of security needed is Basic Personnel Security Standard.
This role is being offered as hybrid working based at any of our Core HQ\\\’s. We offer great flexible working opportunities at UKHSA and operate using a hybrid working model where business needs allow. This provides us with greater flexibility about how and where we work, to get the best from our workforce. As a hybrid worker, you will be expected to spend a minimum of 60% of your contractual working hours (approximately 3 days a week pro rata, averaged over a month) working at one of UKHSA\\\’s core HQ\\\’s (Birmingham, Leeds, Liverpool, and London).
Pay ranges: £33,422-£40,731 (National); £35,587-£43,244 (Outer); £37,749-£45,353 (Inner). Plus public holidays and one privilege day for the King\\\’s birthday.
