Main Purpose Of The Role
The Marketing and Events Assistant will play a pivotal role in supporting the successful delivery of the flagship UK Coaching Awards. Working closely with the Events Manager and Marketing team, the role involves coordinating event logistics, producing marketing materials, and facilitating the online nominations and judging process. The position also includes supporting live event delivery and building strong internal and external relationships.
Key Responsibilities
- Event Support and Coordination: Assist the Events Manager in delivering the UK Coaching Awards. Attend the awards night to support event delivery. Co-plan events with attention to detail and strict time constraints. Support live event delivery and the hosting of online events.
- Marketing And Content Creation: Collaborate with the Marketing team on marketing elements of the Awards. Liaise with external production companies to develop VTs for the evening. Communicate with Award finalists to gather content for VTs. Research and liaise with coaches as part of the Coaching Chain Award. Assist in producing copy for the event programme and VTs.
- Nominations And Judging Process: Facilitate the online nominations process. Sift through applications, prepare the online platform, and coordinate moderation and judging panel discussions.
- Event Logistics And Planning: Support in booking venues, scheduling speakers, and managing internal/external relationships. Plan and coordinate all event logistics, including venue arrangements, guest management, catering, travel, and accommodation. Raise event purchase orders and invoices, assisting the Events Manager with budget management.
- Communication And Relationship Management: Communicate effectively, maintaining and developing internal and external relationships. Ensure that event guests feel welcome, supported, and included.
Essential Skills, Knowledge, And Experience
- Events/Marketing experience: Proven experience in event coordination and marketing activities.
- Copywriting and attention to detail: Excellent copywriting skills with high attention to detail.
- Organisational and time management skills: Outstanding organisational skills with the ability to work under pressure and manage multiple tasks.
- Communication skills: Excellent written and oral communication skills, including strong negotiation and interpersonal skills.
- IT proficiency: Proficient in MS Office and experienced with online systems.
- Autonomous working: Confidence to work independently in the absence of the Events Manager, ensuring all tasks are completed efficiently.
- Microsoft Teams facilitation: Ability to facilitate Microsoft Teams group calls and present PowerPoint slides.
