Role Overview
As a Planner, your day-to-day tasks will include preparing, reviewing and monitoring appointments, visits and completions to ensure adherence to deadlines and timescales, liaising with the client and wider team, ensuring all relevant parties are informed of latest updates. You will be required to make contact via email and telephone on a daily basis. You will be responsible for all planning, administrative and customer liaison requirements for the assigned project, ensuring Total Mobile is always up-to-date, logging new jobs, arranging resident contact for Validation and Post Inspection Surveys, allocating job codes to Site Managers, responding to client queries, generating letters to residents, monitoring shared inbox, providing admin support to the Disrepairs Team, raising purchase orders, and attending client meetings as requested.
Responsibilities
- Prepare, review and monitor appointments, visits and completions.
- Liaise with clients and team, ensuring all parties receive updates.
- Make daily contact via email and telephone.
- Manage all planning, administrative and customer liaison tasks for assigned projects.
- Keep Total Mobile data up to date and accurate for reporting.
- Log new jobs onto Total Mobile.
- Arrange resident contact for Validation and Post Inspection Surveys.
- Allocate job codes to Site Managers.
- Respond to client queries regarding access to properties.
- Generate letters to residents at various points of the workflow.
- Monitor shared inbox to meet targeted email action levels.
- Provide admin support to the Disrepairs Team.
- Raise purchase orders as instructed.
- Attend client meetings as requested.
Qualifications
- Relevant admin qualification or proven experience.
- Experience within a similar role.
- Strong experience working in a fast-moving environment delivering a high quality service.
- Experience working in a customer-facing environment.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Demonstrated awareness and understanding of equality issues.
