This is a complex, multi-tasking administrative role requiring a great deal of concentration, initiative, and accuracy. We are looking for a dedicated, hard-working person who is a team player and likes a challenge. You must have good keyboard skills, good attention to detail, an excellent telephone manner, strong communication skills, the ability to learn quickly, and be able to deal with challenging, demanding, fast-paced situations. Teamwork is key in this role. Full training and support will be provided in-house.
You will be responsible for:
- Adding and directing information/data within our clinical system
- Assisting patients with specialist enquiries
- Liaising with outside organisations
- Performing basic IT troubleshooting
You will be required to adhere to GDPR (data protection) and confidentiality. Teamwork is essential, as is the ability to work autonomously. This role provides integral support to the Practice.
The UEA Medical Centre is an independent NHS GP practice, situated on the campus of the University of East Anglia about 4 miles to the West of the centre of Norwich. We look after circa 20,000 patients.
Main duties of the job:
- Registering new patients and temporary residents including entering data onto a computerised system
- Retrieving medical records for ex-patients and preparing relevant information to be sent on
- Informing patients of their test results (by phone and in person)
- Dealing with phone calls and queries from patients, staff, and third parties
- Summarising medical records onto computer
- Adding patient information, results, and hospital information onto the clinical computer system as required
- Assisting with the transfer of incoming/outgoing medical records
- Updating patient addresses and contact information onto the computer system
- Preparing and disseminating mail merges for certain patient groups
- Reviewing patient lists to identify patients no longer resident in the area
- Providing basic computer support for other staff and reporting faults to third parties
- Restocking computer supplies as required
- Any other duties appropriate to the post, including helping in reception during quiet times
- Working in reception on the occasional Saturday morning (on a rota basis) covering extended access clinics/hours
Key Skills Required:
- 5 GCSEs or equivalent at Grade 5 or above, including Maths and English (essential)
- Attention to detail, speed, and accuracy (essential)
- Experience with computers (essential)
- Experience with Microsoft Office - Excel, Word, Outlook (essential)
- Organised and methodical (essential)
- Experience in a medical setting (desirable)
- Knowledge of medical terminology (desirable)
