This role will support the administration of the vaccination centre, providing ongoing support for vaccination of staff and patients for COVID-19, Flu, RSV, Pertussis and Travel vaccines. The team are exploring exciting new services all the time and supporting other services across Berkshire, Oxfordshire and Buckinghamshire.

The role involves receiving calls and emails from patients and other hospital departments, screening patient eligibility, creating databases on vaccination activity and stock levels, creating and preparing clinic lists, bookings and arrival management. The role combines some clinical duties and the post-holder will be flexible to support this service, which may include collecting vaccine stock, restocking fridges, cleaning and updating clinical areas and noticeboards. The team often delivers vaccines through a roving model and the post holder will accompany the team walking across the hospital site, delivering vaccinations and giving advice. Clinics are delivered to satellite sites and occasionally in patients’ homes, so the post holder must have a driving licence and access to their own car. The post holder will also need good IT skills and the ability to use multiple Trust systems. Knowledge of MS Excel functions such as basic pivot tables and conditional formatting would be desirable. Attention to detail is important.

Main duties of the job:

  • Assist with queries from patients/staff (e.g., vaccine availability and eligibility) using up-to-date Trust guidelines; escalate to senior staff when appropriate
  • Send relevant communications to staff/patients when needed
  • Update and edit the website with relevant information
  • Assist in compiling reports on Trust Vaccination status
  • IT support and troubleshooting for IT systems; work with system providers to improve the service
  • Handle and capture personal data, ensuring accuracy, timeliness, and confidentiality
  • Use of EPR to check admission status and outpatient appointments
  • Use initiative and work to meet targets
  • Monitor staff/patients observation area post vaccination
  • Assist nurses during clinics, roving across the hospital and with administrative duties as required
  • Take payments and create invoices
