The Receptionist and Facilities Administrator will provide reception, facilities, and administrative support across Levels 38, 48, 49, and 50 of 1 Canada Square. Acting as the first point of contact for students, staff, and visitors, the postholder will deliver a professional front‑of‑house service while ensuring the smooth day‑to‑day operation of the School's facilities.
Key responsibilities include:
- Managing facilities requests
- Monitoring room bookings
- Coordinating logistics for meetings and events
- Supporting Executive Assistants
- Maintaining a safe, welcoming, and efficient working environment
The role requires flexibility to support School activities, including occasional evening or weekend work. Working hours will typically be either 8:00 am–4:00 pm or 10:00 am–6:00 pm, Monday to Friday, depending on operational needs.
Salary: UCL Grade 6 (£36,433–£41,833 per annum, including London allowance).
You will have a good general education (A-level or equivalent experience) together with knowledge of facilities management, health and safety, and fire safety procedures. You will bring experience of delivering excellent customer service and providing administrative and facilities support within a complex organisation. Strong IT skills are essential, including proficiency in Microsoft Word, Excel, Outlook, and internet‑based systems. You will have excellent communication and interpersonal skills, enabling you to interact confidently and professionally with a wide range of stakeholders.
The successful candidate will be able to assess risks, resolve facilities issues, maintain confidentiality when handling sensitive information, and work effectively both independently and as part of a team. You will take ownership of maintaining high service standards while recognising when to escalate issues for support.
