About us

UCL Mathematical and Physical Sciences employs nearly 700 members of academic and technical staff and 128 professional services staff. There are 3,683 undergraduate students and 1,686 graduate students, of whom 930 are studying for a doctorate degree. About the role

The Office Manager and Executive Assistant is a pivotal role within the MAPS Faculty Office team, providing support to those in senior leadership roles. The post holder will assume general and specific duties to progress the operational activities of the MAPS Faculty Office, and where appropriate, the BEAMS School (Faculty of Built Environment, Faculty of Engineering Sciences, and Faculty of Mathematical & Physics Sciences). These will include management of staffing administration and HR processes including recruitment and induction of new staff plus management of financial activities. Additionally, the post holder will provide dedicated executive support including diary management to the Dean and Director of Operations. The role requires interaction with both internal and external stakeholders and will line manage one member of Faculty Office staff. Please note this is a fixed term maternity cover post until 30/06/2027. This post will be offered as a Secondment to UCL internal candidates.

About you

The post holder will be educated to A level standard (or equivalent) or have acquired relevant working experience. The postholder requires the ability to manage a varied and demanding workload, and to be able to communicate professionally with a wide range of people at all levels with tact, diplomacy and sensitivity. The ability to work calmly under pressure whilst managing competing priorities and meeting deadlines is key to the success of the role. Experience of managing busy and complex diaries, servicing committees and minute taking along with a proactive and flexible attitude to work are essential skills and attributes.
