The predicted salary is between 36000 - 60000 £ per year.

Main Purpose: This position will play a key role in developing and running the Client CDT for Cyber Security. We are looking for an enthusiastic, dynamic person with solid organisational and managerial skills to help us shape the CDT in such a way that will enable some of the brightest PhD candidates in this field to fulfil their potential. The post is integral to the success of the CDT and offers scope for someone with vision and ambition. The main purpose of the job is to set up and run the CDT on a day-to-day basis with responsibility for a range of processes, organisational and management duties, and input into the overall strategic direction of the CDT.

Applicants will have excellent organisational and time management skills, attention to detail and the ability to collate and present management level information. They will be able to draft correspondence and reports. With excellent written and verbal communication skills, the role holder must also demonstrate the capacity to handle conflicting deadlines. Experience of dealing effectively with multiple stakeholder groups will be an advantage.

Duties and Responsibilities

  • Office Management
  • Act as a first point of contact for the Centre; particularly the Director, Management Team, Steering Committee, Advisory Board, partners, prospective and current students, identifying and meeting needs, whilst managing expectations.
  • Set up, implement and manage administration processes relating to the CDT within the best practice processes of Client.
  • Provide the Centre Director (and, by extension, to the Centre Deputy Directors) with administrative support including undertaking background research, collating and analysing data/information, and writing reports, such as business cases for new programmes, funding bids and Research Council reviews.
  • Liaise with the relevant Programme Administrators and Masters Course Director/Supervisors to ensure effective coordination of the student experience.
  • Attend meetings of Client CDT Managers and CDT Directors as required.
  • Organise, prepare paperwork, take and circulate minutes at Management Team meetings, Steering Committee meetings and Advisory Board meetings.
  • Ensure that all requests for information from the Faculty, other schools, Client Corporate Services, HEI partners and external organisations are met promptly and comprehensively.
  • Undertake internal reviews as required.
  • Provide information to enable research grant proposals and studentship details to be submitted via Je-S.
  • Keep up to date with Client regulations and procedures, such as recruitment policies and assessment regulations.
  • Make travel arrangements for others associated with the CDT as requested by the Director.
  • Develop and maintain a database of CDT members and stakeholders.
  • Provide cover for other colleagues in busy periods or when staff are on annual or sick leave.
  • Oversee the procurement and maintenance of the CDT including computing equipment, estates and facilities.
  • Financial Administration
    • Monitor and maintain CDT budgets, prepare and comment on financial statements/reports.
    • Manage the day-to-day finances of the CDT and liaise with the Director and Deputy Directors on overall financial planning.
    • Manage, monitor and maintain all records for expenditure and all transactions on the CDT and other related grants.
    • Liaise with Client Contracts Department and Research Services to set up contracts with industrial sponsors and funding bodies.
    • Provide information to auditors as required.
    • Assist with student stipend and fee payments.
    • Management of the partner invoicing process.
    • Processing expense claims and invoices via Client finance systems, and provide support in processing student expenses.
  • Information Management & Reporting
    • Oversee, create and update student and staff records for the CDT.
    • Maintain records of information/data and statistics for submissions to EPSRC Councils.
    • Establish and implement systems for recording and annual reporting on the operation of the CDT to Client and to the EPSRC.
    • Working with BSEER colleagues to streamline, make consistent, and develop reporting mechanisms for CDTs.
  • Marketing, Publicity and Events
    • Develop and update marketing and student recruitment plans for the CDT.
    • Promote and publicise the CDT brand, activities, research, and scholarships.
    • Provide input and ideas to the Directors and management on all relevant CDT activities.
    • Write promotional material, provide information and case studies to external sources.
    • Manage the CDT website by providing input into the design, writing content, sourcing non-textual materials and ensuring that site upgrades are carried out.
    • Support other online activities: Twitter, Facebook, including support to students in setting up and maintaining their online profiles.
    • Organise and manage activities and events for the CDT including open days, invited lectures, conferences, seminars and student events, as applicable.

    Qualifications, Experience and Knowledge

    • Educated to A level standard, or equivalent, or having acquired equivalent experience, such as report writing.
    • Experience of working within a HE, research or similar environment.
    • Provision of effective administrative support in a complex organisation.
    • Proven experience of working as a creative and proactive member of a team.
    • Experience of setting up and co-ordinating management systems, with monitoring and evaluation mechanisms.
    • Organising and servicing committees and taking clear and accurate minutes of meetings and providing follow-up support.
    • Project coordination and financial management experience.
