Your role
Are you a meticulous multitasker? Are you that person who has the ability to make sure things run seamlessly, always being one step ahead? Are you a real collaborator? We are looking for a Junior Executive Assistant to support at senior level in a dynamic and diverse environment.
Responsibilities will include, but are by no means limited to:
- extensive diary management – coordinating, gate keeping, ensuring that schedules are adhered to whilst taking account of conflicting priorities and multiple demands on time
- arranging meetings, both internal and external (including conference calls and video conferences), taking account of complex diaries and time-zone differences
- building relationships with clients (internal and external) and their offices
- assisting in the preparation for various meetings
- ensuring appropriate travel arrangements are made, including necessary visas (operating within UBS Travel Policy)
- processing expenses and their reimbursement through Concur
- liaising with numerous management offices and key departments across the Bank
- assisting with the typing and printing of letters, agendas, reports and presentations
- assisting with any IT issues in a timely manner
- updating of team distribution lists
- other ad hoc tasks
