About The Role

Salary: Grade E - £30,024 to £31,022 per annum pro rata

Hours: flexible, will consider part-time applications (from 25 hours/week up to full-time 37 hours/week)

We are looking for a highly organised Contracts & Procurement Administrator to join our Contracts and Procurement team at Ubico. In this role, you will support the Contracts Manager in delivering effective contract management across the organisation. Your work will help ensure our teams have the equipment, services and supplier support they need to deliver efficient services to our shareholders and communities.

You will play an important part in coordinating contract reviews, maintaining accurate contract records, liaising with suppliers, and supporting internal teams to ensure contracts are compliant, well-managed and delivering value. This is an excellent opportunity for someone with strong administrative skills, attention to detail and an interest in procurement and contract management.

Some of your responsibilities:

  • Organise procurement and contract review meetings, including setting agendas and distributing meeting packs.
  • Keep up-to-date contract records including reporting, invoicing, insurance and compliance documentation.
  • Maintain supplier portals, ensuring correct pricing structures and user access are up to date.
  • Manage the timely receipt, checking and distribution of contract management information.
  • Ensure all contract and procurement documentation is centrally recorded to maintain a clear audit trail.

This role is contractually based at our Cheltenham Depot however, flexible / hybrid working arrangements are available. This can be discussed further at interview stage.

You will need:

  • GCSEs (Grade 94 / AC), including Maths and English and relevant administration qualification
  • Full driving licence and access to a car insured for business use
  • Experience in a similar administrative or procurement/contract support role
  • Excellent organisational skills and attention to detail
