About the Role

Executive Assistant Business Partners (EABPs) work closely with Uber’s leadership to provide sophisticated administrative and operational support, while acting as strategic partners who help drive business priorities and strengthen team collaboration and morale. This role will support senior leaders within the Delivery team at Uber and will be responsible for everything from complex calendaring, travel and event planning, to expense management and team operations. We are seeking someone who is exceptionally organized, highly motivated, and a strong problem-solver with sound judgment. The ideal candidate will demonstrate executive presence, outstanding communication skills, and a resourceful approach to building relationships across Uber. This is a full-time position.

Responsibilities

  • Strategic Calendar Management: Manage complex and ever-evolving calendars using Google Calendar. Exercise sound judgment in vetting and prioritizing requests, proactively recommending adjustments to optimize leaders’ time and alignment with business priorities.
  • Meeting Preparation & Leadership Support: Ensure leaders are fully prepared and punctual for all engagements. Contribute actively to leadership meetings by capturing comprehensive notes, tracking action items, and driving follow-up to ensure accountability and timely execution.
  • Stakeholder Coordination: Coordinate meetings across multiple internal and external stakeholders, navigating competing priorities and complex scheduling demands within a global, matrixed environment.
  • Travel & Expense Management: Seamlessly arrange domestic and international travel, including detailed itinerary drafting, visa processing, and timely expense report processing. You’ll be the go-to for remote logistical support, ensuring smooth journeys for our leaders.
  • Project & Task Oversight: Provide critical follow-up and reminders on project deadlines, action items, and deliverables, ensuring timely completion.
  • Operational Excellence: Support key operational initiatives, including facility and space planning logistics, budget tracking, and team expense oversight. Identify opportunities to improve processes and enhance efficiency.
  • Event Planning & Team Engagement: Lead the planning and execution of team gatherings, leadership summits, all-hands meetings, and BRs. Manage logistics, budgets, vendors, and communications end-to-end.
  • Adaptable Support: Effectively support leaders in hybrid and remote environments, navigating conference room logistics, time zones, and shifting priorities.

Qualifications

  • 6-8+ years of administrative experience, with at least 4 years directly supporting a VP-level leader or a Director-level leader in a global organization.
  • Proven ability to support multiple senior leaders with overlapping priorities in a complex, matrixed environment.
  • Exceptional proficiency with Google Calendar and other productivity tools.
  • Outstanding communication skills with a demonstrated ability to build strong, collaborative relationships with both internal and external stakeholders.
  • A keen ability to prioritize calendars effectively, making sound judgment calls and decisions in rapidly shifting priority environments.
  • Demonstrated success working with efficiency and accuracy in a fast-paced, often changing environment.
  • A proactive and resourceful approach, taking initiative and ownership over ambiguous tasks and situations with minimal oversight.
  • Superior organizational skills with an unwavering attention to detail.
  • Experience coordinating complex projects from start to finish.
  • Familiarity with budget management & principles.
  • Unquestionable integrity and ability to handle confidential information with discretion.
  • Experience thriving in a complex, matrixed, and global organizational structure.
  • A Bachelor’s degree or equivalent practical experience.
