  • Overseeing reception processes – corporate welcome, visitor sign -in, parking requests, meeting room set up, ensuring break out areas and working environment is clean and tidy,<\/span> <\/span><\/span>incoming<\/span> <\/span><\/span>and outgoing post arrangements, supporting on any queries or issues they may have<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
    <\/span><\/span><\/li><\/ul><\/div>
    • Managing admin budget and expenditure.<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
      <\/span><\/span><\/li><\/ul><\/div>
      • Reviewing and approving invoices for office rent, utilities, maintenance etc, ensuring<\/span> <\/span><\/span><\/span>inline<\/span><\/span> <\/span><\/span>with contracts.<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
        <\/span><\/span><\/li><\/ul><\/div>
        • Approving orders for office supplies and managing to budget. Raising/approving<\/span> <\/span><\/span><\/span>PO’s<\/span><\/span> <\/span><\/span>for invoice items or processing expense receipts for card payments.<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
          <\/span><\/span><\/li><\/ul><\/div>
          • Sending and managing office -based comms<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
            <\/span><\/span><\/li><\/ul><\/div>
            • Considering and managing processes for any changes <\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
              <\/span><\/span><\/li><\/ul><\/div>
              • Following up (doors left propped open, security<\/span> <\/span><\/span><\/span>issues..<\/span><\/span>)<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>

                • Managing hot desking / working environment, finding solutions when at capacity and responding to<\/span> <\/span><\/span><\/span>colleagues<\/span><\/span> <\/span><\/span>queries / dissatisfaction on this<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>

                  • Dealing with office team requests <\/span><\/span><\/span><\/span><\/span>

                  • Considering impact and where necessary implementing requests for improvements<\/span><\/span> <\/span><\/span><\/span>

                  • Arranging maintenance requests in line with budget and ensuring regulatory compliance<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>

                    • Reviewing specific workstation needs / requests and arranging provisions in line with budget (on the back of DSE assessments)<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>

                      • Lead contact to respond and resolve any issues (24/7);<\/span> <\/span><\/span>office access, alarm, breakdowns etc. <\/span><\/span> <\/span><\/span><\/span>

                      • Provide consistent offering on supplies and processes at Clipper House, Horizon, TBW<\/span> <\/span><\/span>Pier<\/span> <\/span><\/span>and Embankment offices<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
                        <\/span><\/span><\/li><\/ul><\/div>
                        • Review and manage requests for storage<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
                          <\/span><\/span><\/li><\/ul><\/div>
                          • Reviewing meeting room space / workspace requirements and arrange alternative as<\/span> <\/span><\/span>required<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
                            <\/span><\/span><\/li><\/ul><\/div>
                            • Sourcing and managing contracts and maintenance for photocopier (all office hubs), coffee machine etc<\/span><\/span><\/span><\/span> <\/span><\/span><\/span>

                              • Fire warden duties <\/span><\/span><\/span><\/span> <\/span><\/span><\/span>
