Tythe is looking for a full-time Event and Wedding Co-ordinator to be responsible for planning, co-ordinating and delivering both private and corporate events and weddings at our beautiful Oxfordshire venue set on our working family farm. You will work with our clients to understand their vision and preferences whilst overseeing planning details, creating timelines, managing administration, and ensuring all aspects of the event are executed seamlessly.
In addition to event planning and coordination, this role requires strong administrative capabilities to support the smooth running of our events business. You will be responsible for maintaining accurate records, updating client files, scheduling meetings, liaising with suppliers, managing bookings and event schedules, and supporting the wider team with day-to-day administrative tasks.
Tythe’s team of co-ordinators are highly organized, detail-oriented, and have excellent communication skills. You’ll need to communicate effectively with clients and colleagues and be confident resolving issues calmly and efficiently during the planning process or on the event day.
We require all of our event co-ordinators to have a strong understanding of the event and wedding industry, and to be able to provide guidance and advice to their clients. This is a creative and dynamic role that requires a passion for event planning, a commitment to delivering exceptional customer service and the ability and availability to work ‘event’ hours.
Event and Wedding Co-Ordinator Duties and Responsibilities- Meet with clients to discuss their vision and preferences.
- Coordinate and manage all aspects of the event or wedding planning process via face-to-face, email and telephone communication.
- Provide excellent customer service and ensure client satisfaction throughout the entire planning process and event.
- Handle all event-related administration including maintaining client files, updating booking and CRM systems, and logging event details accurately.
- Create and maintain detailed timelines, checklists, and schedules to ensure all tasks are completed on time.
- Manage diary scheduling, supplier contracts, internal communications, and invoice tracking.
- Co-ordinate and oversee all wedding and event day activities, including setup, supplier arrival/departure/collection times, ceremony, reception, evening party and on occasions also breakdown.
- Ensure that all suppliers are aware of their responsibilities and timelines.
- Communicate with clients, wedding parties, and family members to ensure they are informed and comfortable with plans.
- Handle any unexpected issues or emergencies that may arise during the planning process or on the event day.
- Collaborate and communicate effectively with other event staff, including servers and bartenders, to ensure seamless execution.
- Quickly address and resolve guest concerns or logistical issues during events.
- Provide creative ideas and solutions to make the event or wedding unique and memorable.
- Assist with general administrative support to the wider team, including preparing reports, updating databases, and handling enquiries.
- Ensure that both clients and guests have a positive, stress-free and enjoyable experience.
- Proven work experience as an Event / Wedding Coordinator or similar role.
- Excellent organizational and time-management skills.
- Strong administrative skills and experience with office management tasks.
- Proficiency in Microsoft Office and event management software.
- Ability to manage multiple tasks and prioritise effectively.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Team player who communicates well with all colleagues.
- Punctual, reliable and trustworthy.
- Experience in event planning and within the wedding industry.
- Knowledge of wedding traditions and customs.

- Knowledge of health and safety practices for live events.
- Driving licence and access to own transport.
- First Aid certificate.
- Physically fit and enjoys an active role - this role may particularly suit someone from an event catering background, given its active, hands-on nature and requirement to manage setup, service flow, and supplier logistics.
